Overview

All space members except collaborators can create and manage blueprints in spaces. Collaborators can view existing space blueprints.

Space blueprints are customizable templates available for each space, providing a seamless way to organize your work without affecting others.

With space blueprints, space members can easily access, view, and edit these templates. You can select space blueprints in the space-level request forms and use them in the space-level Automation.

You can choose to save reusable work as a blueprint for your entire account (i.e. for the whole company) or exclusively for team or space members.

Create space blueprints

All space members except collaborators can create blueprints in spaces. Collaborators can view existing space blueprints.

  1. Navigate to the relevant space.

    1. If you're a space admin, click the gear icon to open the space's settings and select the Blueprints tab.

    2. If you're a space member, click the Blueprints button in the upper right corner of the view.

  2. Click the + button next to the Blueprints title of the panel on the left.

  3. From the menu select the type of blueprint you want to create: Task, project, folder, or a custom item type.

  4. In the pop-up that appears:

    1. Enter the blueprint name.

    2. Change the blueprint location if necessary. By default, the blueprint is located within the current space but you can add it within one of the existing space blueprints. To do that, hover over the space name, click the X that appears, and select a different location.

  5. Click Create or Add and open to finish blueprint creation.

  6. Your blueprint opens, and you can adjust any attributes that will be applicable to the blueprint. For example, you can add text in the item description, add assignees, set start and end dates, set a default view, and more.

The space blueprint you created is shared with all space members. All of them except for collaborators can view and edit the blueprint.

Convert existing items to space blueprints

All space members except collaborators can convert items to space blueprints.

You can save any existing items as a space blueprint to use as a template for future tasks easily. Additionally, if you want to convert an existing account-level blueprint to a space-level blueprint, you can first create a work item from the account-level blueprint and then save it as a space blueprint, using the instructions below.

  1. Navigate to the relevant space.

  2. Locate the work item you want to convert to a blueprint and:

    1. For tasks, right-click the task in New Table view.

    2. For projects and folders, right-click the item in the sidebar or New Table view.

  3. Select Save as Blueprint.

  4. In the pop-up that appears:

    1. Enter the blueprint's name.

    2. (optional) Enter the prefix which will be added at the beginning of the names of tasks, subprojects, and subfolders created from the blueprint.

    3. In the Save as section, the current space is automatically selected. You can change it to Account blueprint if you want to make the blueprint an account-level.

    4. (optional) In the Save to section, select an existing space-level blueprint folder or project to place the new blueprint into. If no blueprint is selected, the new one will be created as a stand-alone.

    5. (optional) Select what to copy and set scheduling options for the blueprint using the checkboxes if necessary.

  5. Click Save.

Create work items from space blueprints

All users except collaborators can create work items from space blueprints.

The scope of the space blueprints is limited to their space. So you can create real work items from a space blueprint only in the space that it belongs to.

  1. Navigate to the relevant space.

    1. If you're a space admin, click the gear icon to open the space's settings and select the Blueprints tab.

    2. If you're a space member, click the Blueprints button in the upper right corner of the view.

  2. For projects:

    1. Locate the relevant project blueprint in the left panel.

    2. Right-click the blueprint and select Create from Blueprint.

    3. In the pop-up that opens, make the necessary adjustments and click Create.

  3. For tasks:

    1. Switch to List view, Table view, or New Table view.

    2. Locate the relevant task blueprint on the view.

    3. Right-click the blueprint and select Create from Blueprint.

    4. In the pop-up that opens, make the necessary adjustments and click Create.

Alternatively, you can create work items from space blueprints using one of the context creation menus in the workspace. You can learn more on these pages: Creating a Task from a Blueprint and Creating a Folder or Project from a Blueprint.

Note

There's a limit of 4000 items created from blueprints and/or duplicated per every 7 days. Every time you create an item from a blueprint or duplicate an item, Wrike checks if the limit has been reached in the previous 7 days. If the limit is reached, you won't be able to create new items from blueprints or via duplication. You can try again in the following days, e.g., if you created 4000 items on a Tuesday, you can create more items only next Tuesday.
