Creating a Space Workflow

You might not see this feature in your account because it's being gradually released. It will become available in all eligible accounts by November 14, 2022.

Space admins on Business and higher accounts can create space workflows.

Space workflows are custom workflows created within a specific space that can be used only within this particular space.

Create a space workflow

Space workflow is a workflow belonging to a particular space. This workflow can be tailored for your team's needs and easily edited from the space settings by the space admin.

  1. Open the space for which you would like to create a workflow.

  2. Click the gear icon in the upper right-hand corner of the space.

  3. Switch to the Workflows tab.

  4. Depending on if you want to create a workflow for tasks (task-based items) or projects (project-based items), click Add or create workflow button under the corresponding section.

  5. In the drop-down that appears, click Create new workflow.

  6. From here, you can:

    1. Name the workflow

    2. Add statuses to the workflow

    3. Edit statuses

    4. Add transitions, assignees, and approvals upon status change (some of these options might be available only to account admins)

    5. Move statuses in-between status groups

  7. Click Save to create a workflow.

Important

  • You can create no more than 20 custom workflows per space.

  • Space custom workflows can be used within the parent space only. However, they are visible to all users in the account who have access to the space.

  • Space workflow can't be turned into account-wide and vice versa.

  • In a locked space, you can add as assignees upon status change only users from this space.

  • Space workflows can be used only in Request forms and automation rules created from the same space.
