How to Share a Whiteboard

TL;DR

Use the Share button in Wrike to quickly share a whiteboard with colleagues in your account or copy a public link for external participants. To adjust sharing settings, open the whiteboard in Klaxoon.

Overview

Share a whiteboard directly with other users in your Wrike account. Users can see Whiteboards even without a Wrike location. 

Sharing is available for whiteboards with the Open for team or Public sharing type.

How to Share a Whiteboard With Wrike Users

1. Open the whiteboard you want to share.
2. Click Share 1 in the upper-right corner.

3. Search for users by name or email, and select one or more users 2. 

   Note

   You can’t select user groups or smart groups.

4. (Optional) Add a message 3.
5. Click Share 4. 

Invited users receive a Wrike Inbox notification and, depending on their notification preferences, an email. The notification includes your name, the whiteboard name, and your optional message.

How to Open a Shared Whiteboard

1. Open the notification from your Inbox tab 1 or the invitation you received by email.
2. Click Open whiteboard 2.

You can open the whiteboard even if you don’t have access to its Wrike location. After you open it, the whiteboard appears in the Whiteboards hub.

How to Share a Public Whiteboard

1. Open a whiteboard with the Public sharing type.
2. Click Share 1 in the upper-right corner.
3. Copy public link 2 from the pop-up.
4. Send the link to external participants.

Anyone with the link can open the whiteboard in Klaxoon, including people outside your company.

Limitations

• You can’t use Share for whiteboards with the Restricted sharing type. Hover over the disabled button for more information.
• Only the board author can open the whiteboard sharing window from the tooltip on a restricted whiteboard.
• You can’t invite external participants by email through Wrike’s sharing window.

• Account admins can review whiteboard invitations in the audit log.
