Overview

Anyone who has access, including a non-Wrike user, can submit a request form.

When you submit a request, Wrike automatically:

  • Creates a task or project. Admins specify which item type should be created when setting up the form.

  • Grants you access to the resulting item. The access role depends on the parent location sharing settings. If the parent location is not shared, the submitter will have Full access to the newly created item only.

    Note

    Items created via External Request Form submission are not shared with the submitter automatically.

  • Populates the task or project with information from the request form fields.

  • Adds the task or project to a location in the folder tree.

  • Assigns the task to the designated user(s) or adds an owner to the project (if it was specified by the request creator).

  • Creates an approval (if specified by the request creator).

Note

Admins can view all saved or published request forms from the Requests forms tab of the Account Management section.

Submit a request form

All Wrike users can submit request forms in the workspace, and non-Wrike users can submit external request forms using a link.

Important

Form entries can’t be saved as a draft before submission. The form must be completed and submitted in one go. If you leave the page, close the browser tab, or the session times out, all entered information will be lost.

Note

Each page of a request form can be answered only once per submission. If you return to a page you’ve already filled out and choose a different answer, your previous response will be replaced. Answers don’t stack - only your most recent selection is saved.

For Wrike users

  1. Click the green + 1 in the top-right corner of the workspace.

  2. Select Request 2 in the dropdown menu.

  3. Select a request form from the list or use Search 3 to find the form you need.

    Recently used 4: This section shows up to 5 forms that you have submitted in the last 30 days.

    Suggested to you 5: This section shows up to 5 forms that have received the highest number of submissions in the past 30 days, based on activity from:

    • All account users

    • Users in groups you’re part of (like My Team)

    • Other users who have your job role

  4. Fill in the available questions. Questions with an * 6 are required.

  5. Click Submit 7 .

A task or project is created using the information you entered.

For non-Wrike users

Request forms can be made external, which means they can be sent via a link to non-Wrike users or embedded in a website.

  1. Go to the link provided or use an embedded form.

  2. Fill in the available questions. Questions with an * are required.

  3. Click Submit.

Once a non-Wrike user submits a form they'll receive an email confirmation (provided they included their email address in the form).

FAQ

Are tasks automatically shared with request submitters?

  • If you have a Wrike license in the account and submit the request through the Workspace, Wrike automatically shares the task with you.

  • If you have a Wrike license but submit the request using the external form link, the task isn’t auto-shared. You’ll only see it if it’s in a folder or project that’s shared with you, or if you’re assigned to it.

  • If you don’t have a Wrike license in the account, you’ll get an email confirmation with your responses but won’t be able to access the task in Wrike.

What is the maximum file size of attachments that can be uploaded via request form submission?

The file size limit for internal request form submission depends on your subscription type:Free, Team, Business and Professional plans allow uploading files up to 4 Gb.

  • Free, Team, Business and Professional plans allow uploading files up to 4 Gb.

  • Enterprise and Enterprise Pinnacle plans allow uploading files up to 10 Gb.

The file size limit for attachments added via external request form is 500 MB.
