Request Forms in Wrike

TL;DR:

Request forms in Wrike let admins create custom intake forms for users or external submitters to send requests. Build them at the account or space level, choose what gets created (task, project, custom item type, or blueprint), and manage multiple forms at once. Only admins, space admins and account owners can edit or delete forms. Wrike also provides data to track submissions and activity, helping teams organize and manage incoming work.

Overview

Requests in Wrike consist of two parts: the request form builder, which admins use to create and manage request forms, and submission forms, which allow all users and, optionally, non-Wrike users to submit requests.

When you submit a request, Wrike automatically:

  • Creates a task, a project, a custom item type or a blueprint. Admins specify which item type should be created when setting up the form.

  • Populates the task or project with information from the request form fields.

  • Adds the task or project to a location.

  • Assigns the task to the designated user(s) or adds an owner to the project (if it was specified by the request creator).

  • Starts an approval process (if specified by the request creator).

Request forms in Wrike exist on two levels:

Account-level Request forms:

Account owners and admins with the required permission can create account-level request forms. On Standard and Pinnacle, admins can customize who has permission to create these forms. External users, Collaborators, Contributors, and Viewers can't create account-level request forms.

Account owners and admins can manage all forms in one centralized location under account settings, using a table-based interface. This centralized view lets you:

  • Browse all forms in a sortable and filterable table.

  • Search for specific forms by name.

  • Group and organize forms by criteria like status or description.

  • Customize the view by choosing which fields and attributes to display.

Space-level Request forms:

Create space-level request forms to tailor requests to your team or department’s workflows. Only space admins can manage these forms, and can control who can submit requests and where responses go through the form’s settings. Owners and space admins can also make a space-level form visible to the entire account if needed.

Space admins can manage all space-level forms in the Request forms tab in space settings. This centralized view lets you:

  • Browse all forms in a sortable and filterable table.

  • Search for specific forms by name.

  • Group and organize forms by criteria like status or description.

  • Customize the view by choosing which fields and attributes to display.

You can control who can submit requests by adjusting the Form is visible to option in the form’s settings. This allows you to make the form available to specific users or groups, or to everyone in the account ensuring that the right information is collected from the right people.

Tip

You can export all request forms created at the space or account level to an Excel file. Just click the three-dot menu in the toolbar and select Export this table to Excel.

The file will download to your device automatically.

Available Question Types

The available question types that you can add to your Request are:

  • Single line text: one-line response field.

  • Paragraph: multi-line response field.

  • Single answer: dropdown list, users can select one option from the list.

  • Multiple answers: checklist, users can select one or multiple options from the list.

  • Date: calendar picker, users to select a date.

  • Attachment: allows users to upload an attachment.

  • Importance: allows users to set task importance. (Available only for task Request forms).

  • Assignee: allows users to select an option from the list of all active account users.

  • Number: allows users to enter numerical data as their response.

    Note

    User questions can't be added to external request forms. If you make a form with such questions external, all User questions will be removed automatically.

In addition to questions, you can add section headers to your Request form to help structure your form.

Mass actions in Request Forms

You can manage multiple request forms at once using mass actions in the request forms management table.

Space Level

  1. Open the space where you want to manage request forms.

  2. Click the gear icon next to the Space overview tab to open Space settings, then select Request forms from the menu.

  3. Hover over a request form in the Request forms menu.

  4. Select the checkbox next to each request form you want to choose.

    • Use Select all to choose every request form at once.

    • Click Unselect all to clear all selections.

  5. Click the Status button to change the status of the selected request forms.

    • You can activate or deactivate the forms.

    Important

    When a form is deactivated, other users can't access or submit requests through it.

  6. Click the Delete button in the toolbar to remove the selected request forms.

Review the warning message in the dialog box, then confirm if you want to proceed.

Account Level

Note

Only admins and account owners can delete or modify Request Forms at the account level.

  1. Click your profile image in the upper left corner.

  2. Select Settings, then choose Request forms under Account management.

  3. In the menu, hover over each request form.

  4. Select the checkboxes next to the request forms you want to choose.

    • Use Select all to choose every request form at once.

    • Click Unselect all to clear all selections.

  5. Click the Status button to change the status of the selected request forms.

    • You can activate or deactivate the forms.

      Important

      When a form is deactivated, other users can't access or submit requests through it.

  6. Click the Delete button in the toolbar to remove the selected request forms.

Review the warning message in the dialog box, then confirm if you want to proceed.

Tip

  • To select all request forms at once, you can also click the checkbox at the top of the serial number column.

  • You can delete up to 100 forms at a time. It’s not possible to delete more than 100 forms at once.

Data Points

Request forms in Wrike help you capture and organize incoming work. Each request form includes a set of data points that give you important details about submissions, activity, and visibility. Understanding these data points makes it easier to track requests, manage workflows, and share information with your team.

You can show or hide these columns by enabling/disabling the toggle button under the Fields option.

The data points are:

  • Status: Shows if the request form is active or inactive.

  • Created date: The date the request form was created.

  • Description: A user-added field where you can enter your own details or summary of the workflow.

  • Author: The user who created the request form.

  • Belongs to: Indicates which space the request form is associated with.

  • Visible to: Lists the users or groups who can see and submit the form.

  • Shared publicly: Shows if the form has a public link for external submissions.

  • Saves to: Specifies where submitted requests are stored (e.g., a folder, project, or space).

  • Creates: Details what is created when the form is submitted (e.g., task, project, or custom item type).

  • Last edited by: The user who last updated the request form.

  • Last edited date: The date the request form was last changed.

  • Submitted total: The total number of times the form has been submitted.

  • Submitted this month: How many times the form was submitted in the current month.

  • Last submitted by: The user who last submitted the form.

  • Last submitted date: The date of the most recent submission.

Note

For existing accounts, retrospective data is available starting from 2024.

Use cases

For process owners, requests help simplify your intake workflow and add structure to the request system. For users submitting requests, requests bring clarity to the request process, ensure that requests are added to the appropriate location, and decrease the chances that requests are lost.

Here are a few examples of ways that requests can help your team:
