Automation in Custom Item Types

Overview

Account admins can create and manage automation rules for account-level custom item types. Space admins can create and manage automation rules for account-level and space-level custom item types in their spaces.

You can set up automation rules for each custom item type to streamline your team's processes and reduce manual work.

Type-specific automation is available for account-level and space-level custom item types. Once you set up the automation rule in a custom item type, automation by default applies to all work items created from this type.

Tip

You can always check which automation rules apply to the work items created out of a custom item type. Click the three-dot menu button in the upper-right corner of the work item and select Show automation rules to see the list of rules.

This option is available to all users except for external users and collaborators.

Automation in space-level types

  1. Navigate to the relevant space and click the gear icon in the upper right corner.

  2. Select the Custom item types tab.

  3. Start creating a new custom item type or click one of the existing ones.

  4. In the left panel of the custom item types editor, scroll down to the Manage automation rules button and click it.

  5. Click + New rule to create a new automation rule for this item type, or click one of the existing rules to edit it.

To delete a type-specific automation rule, hover over it, click the three-dot menu icon that appears on the right, then select Delete, and confirm your decision in the pop-up.

To disable a type-specific rule, click on it in the rule list and switch the Rule on/off toggle in the upper-right corner.

Automation in account-level types

  1. Click your profile image in the upper-right corner of the workspace.

  2. Select Settings.

  3. Click Custom item types in the panel on the left. You may need to scroll down to find it.

  4. Start creating a new custom item type or click one of the existing ones.

  5. In the left panel of the custom item types editor, scroll down to the Manage automation rules button and click it.

  6. Click + New rule to create a new automation rule for this item type, or click one of the existing rules to edit it.

To delete a type-specific automation rule, hover over it, click the three-dot menu icon that appears on the right, then select Delete, and confirm your decision in the pop-up.

To disable a type-specific rule, click on it in the rule list and switch the Rule on/off toggle in the upper-right corner.

FAQ

Do automation rules in custom item types affect the account rule limit?

Yes, the type-specific automation rules also count toward the overall account rule limit.
