Import Wrike Work Items Into Whiteboard

TL;DR

Use InsertImportWrike items on a Whiteboard to select tasks from a specific Space, folder, or project, then import them as movable cards. You can also import a single task by pasting its permalink (via the By link tab or directly on the board).

Import Tasks and Custom Item Types to Whiteboard Overview

You can import Wrike tasks and task-based custom item types to a Whiteboard to work with them in a visual way. Use this to:

  • Plan sprints and roadmaps with draggable cards

  • Bring non-technical stakeholders into the conversation

  • Prioritize and group work by deadlines, ownership, or strategy

Imported items stay linked to the original Wrike work, so you can work visually without losing structure.

Import Wrike Work Items to a Whiteboard

Open the import menu

  1. Open your Whiteboard.

  2. In the toolbar, click three-dot menu 1.

  3. In the panel that opens, go to the Import 2 section.

  4. Click Wrike items 3.

Configure import settings

A new window opens where you choose what to import.

  1. Choose the space 4 that contains the work items you want to import.

  2. After you select a space, you’ll see all available work items in that space 5.

  3. Use the checkboxes 6 to select multiple items at once.

  4. Select the folder or project 7 that contains the work items you want to import.

  5. When you select a folder or project, you’ll see all work items inside it 8.

    Tip

    Click Open to jump directly to any folder or project and see its work items. You can browse the Wrike folder tree right from the import window without using the search bar.

  6. Click the filter button 9 to refine the list of work items.

  7. Select the items you want to import by clicking their checkboxes 10.

  8. Turn on the toggle 11 to hide items that were already imported to this Whiteboard.

  9. Click Import 12 to bring the selected work items into the Whiteboard.

    Tip

    After import, items are marked with an Imported label so you can see what’s already on the Whiteboard.

Finalize the import

Your items appear on the Whiteboard 13 as individual elements you can move, group, and edit.

Tip

Make sure you have access to the selected space, folders, and projects in Wrike. If you don’t have permissions, those work items won’t appear in the import window.

Note

If a work item that you imported to a Whiteboard is deleted in Wrike, the corresponding idea on the Whiteboard becomes unlinked.

Limitation

You can’t import or export items or ideas when the Whiteboard is in a locked space.

Import Wrike Work Items to a Whiteboard Using a Permalink

You can also import individual items by using their permalinks. You can do this from the import menu or by pasting the link right on the Whiteboard.

Import via the Whiteboard import menu

  1. Open your Whiteboard.

  2. Click Insert 1.

  3. In the import panel, click Wrike items 2.

  4. The Import from Wrike window opens.

  5. Go to the By link 3 tab.

  6. Paste the Wrike work item permalink into the field 4.

  7. Click Import 5 to add the work item to your Whiteboard.

Import by pasting the permalink

In Wrike, copy the permalink of the work item you want to import, then go back to your Whiteboard and paste the permalink directly onto it. The work item is imported automatically.

Limitations

  • Sharing between Wrike work and Whiteboards doesn’t sync automatically, including ideas on those Whiteboards.

  • Anyone who has access to a Whiteboard can see the attributes of linked Wrike tasks, even if those tasks aren’t shared with them in Wrike.
