Overview

On accounts created before August 24, 2021, regular users, account admins, and owners can edit properties of existing account-level custom fields in folders, projects, and spaces. On all accounts created starting from August 24, 2021, only account admins and owners can change settings of existing account-level custom fields in folders, projects, and spaces.

On all accounts, by default, Space admins and Space members can edit properties of Space-level custom fields, but this right can be restricted for Space members.

Note

Collaborators and external users can’t edit properties of custom fields of any level, even if they're part of a space where space members are allowed to edit space-level fields.

You can edit the properties of custom fields that you created and ones that are shared with you. The field properties include field name, field type, where the field is visible, which space it belongs to, and who it’s shared with.

Tip

Account owners and admins can edit properties of any custom field in the account, including the ones that aren't shared with them. Visit the Managing All Custom Fields in the Account page to learn more.

Space admins can manage Space-level custom fields from a special view. Go to Managing Custom Fields in Spaces to learn how.

Editing custom field properties doesn't affect the existing data in the field. Even if you change the field's type, the current field value stays the same until you change it.

Edit custom fields from Table view

  1. Navigate to the folder, project, or space 1 where the custom field is applied.

  2. Switch to Table view 2.

  3. Click the + 3 icon.

  4. Hover over the custom field you want to edit and click the three-dot menu 4.

  5. Change field settings 5 from the dropdown menu.

  6. Depending on the field type, the field settings 6 may vary. From the pop-up, you can make the changes to the custom field according to your needs.

  7. Click Save 7.

Edit custom fields from Board view

  1. Navigate to the folder or project whose custom fields you want to view or edit.

  2. Switch to Board view 1.

  3. Select Cards 2 in the view header.

  4. Hover over a custom field and click on the three-dot menu 3.

  5. Select Change field settings 4.

  6. Depending on the field type, the field settings 5 may vary. From the pop-up, you can make the changes to the custom field according to your needs.

  7. Click Save 6.

Edit custom Fields from the Account-level custom field Panel

  1. Click your profile image 1 from the sidebar.

  2. Select Settings 2 from the dropdown menu.

  3. Click Custom fields 3 in the left panel under the Account management section.

  4. Click the row of the relevant custom field from the table 4.

  5. Depending on the field type, the field settings may vary. From the pop-up, you can make the changes to the custom field according to your needs.

  6. Click Save 5.

Edit custom fields from the Space-level custom field Panel

  1. Navigate to the relevant space.

  2. Click the gear 1 located either in the sidebar or below the space’s name.

  4. Click the row of the relevant custom field from the table 3.

  5. Depending on the field type, the field settings may vary. From the pop-up, you can make the changes to the custom field according to your needs.

  6. Click Save 4.

Managing User Permissions for Custom Fields

You can selectively share space-level and account-level custom fields and set specific permissions to view and edit. This helps prevent accidental edits to sensitive custom fields while allowing necessary changes, ensuring data integrity and safety. This feature is ideal for Enterprise and Business users with complex team structures.

Note

Account owners and admins can edit properties of any custom field in their account, including those not shared with them.

To manage custom field permissions:

  1. Navigate to the space 1, folder or project, where the custom field is applied.

  2. Switch to the Table view 2.

  3. Click the + icon 3 or the Fields button 4 in the toolbar.

  4. Hover over the custom field you want to edit permissions for, then click the three-dot menu 5.

  5. Click Change field settings 6 (depending on the field type, the field settings may vary).

  6. Click Everyone can see, specific users can edit 7 from the drop-down menu.

  7. In the pop-up that appears:

    1. Click on the Search field 8 to add a user or user group to the list.

    2. Select the specific user and assign the type of access by clicking on their current access role 9.

      Note

      By default, all users are provided with edit access.

    3. Select the desired permission(s) for the user(s) from the menu 10 :

      1. Edit: Can edit and see the custom fields.

      2. See: Can only view the custom fields.

      3. No access: Cannot view or edit the custom fields.

    4. Click Save 11 to apply the changes.

  8. Users granted these permissions can view and edit field values in spaces, items, and views to which they have access. However, you will need to ensure that anyone added to this permission list also has the necessary access role permissions.

  9. To prevent a user from viewing or editing, click the "X" icon 12 to remove them from the list. Be sure to check that  the Everyone else 13  group has the correct access level of access, or none at all.

Important

Users without edit permissions are unable to modify custom field values in any Wrike view.

Convert Space-level custom fields to account level

On all accounts, by default, space admins and space members can convert space-level custom fields into account-level ones, but this right can be restricted for space members.

  1. Start editing the relevant custom field as described above.

  2. Click the space title next to Belongs to 1 at the bottom of the pop-up.

  3. Click Convert to account field 2.

  4. Click Save 3.

The field is now visible and can be used in the entire account across all spaces.

Convert account-level custom fields to Space level

On all accounts, account admins and owners can convert account-level custom fields into space-level ones.

Note

Account custom fields can’t be converted into space custom fields for personal Spaces.

  1. Navigate to the relevant space.

  2. Start editing the relevant custom field from within the space.

  3. Click the space title next to Belongs to entire account 1 at the bottom of the pop-up.

  4. Click Convert to space field 2.

  5. Click Save 3.

The field now belongs to the space that you navigated to on Step 1.

Note

Keep in mind that space-level custom fields are only visible inside spaces that they belong to. So users who previously used them in locations outside the space will lose access to their data.

FAQ

Why don’t I see the option to edit the field?

You might have limited access in the current folder, project, or space because of your access role or space-level permissions, and you might not have permission to edit field values in the settings of specific custom fields. Try editing the field in a location where you have full rights, or ask the person who shared it with you to update your access role. Note that collaborators and external users can't edit custom field properties.

I want to convert my custom field into another type. What will happen to the existing values? Will they get broken?

Existing field values will not break or disappear when the custom field type is changed. To update the values entered in tasks and projects to the new format you would need to manually update each cell. To speed up this process we suggest using the drag-fill option available in the Table view.

I have converted the multi-select field to a single-select field. Now, the field values appear to have gained extra brackets. Is this expected? How can I correct this?

When you convert a multi-select field, its previous values will appear in brackets and will no longer be recognized by the filtering mechanism. To work around this, you can mass-edit the values using the drag-fill option in the Table view.
