Submit a Request Form thats assigns to an existing Project
Hi there - we would like to create a Request Form that will assign or attach an addendum to an EXISTING Project (vs creating a NEW Project or Task.) We can see options for the Request Form to be added to a Folder, but not to a Project. Is there a way to do this (or a workaround you might suggest?) Yes, we considered using a Dynamic Request Form for this need, but that option will not work because the info to be gathered via this Request Form would not be known for many days/weeks until AFTER the Project is initiated. Thanks for any advice you can offer! |
Echo this for sure! We have to manually add the folder now but it is a step that is most often forgotten.
Would be great if it was a mandatory field in the request form for us. As an autocomplete (like the search bar)
Hey guys, thanks for posting here 🙂 Currently there's no option to add a task to a project when submitting the Request Form, so @Barbara please let me know if you'd like me to move this thread to the Product Feedback section so that other Community members could upvote this suggestion.

Agreed! Our organization has whole teams dedicated just to this "triage" step.
The vast majority of our requests are related to existing projects or tasks, so we really need to either generate the request from the project/task or have a way to tag (required or not) to the request prior to sending. Those requesting aren't likely to remember after sending and the receiver shouldn't have to tag it on their behalf.
Thanks!

Hi Richard Herzog, welcome to the Community! 🙂
Thanks a lot for your feedback, I'll be passing it to the product team. This thread now exists in our Product Feedback forum, so please make sure to upvote the suggestion. Here's how this forum works 👍

Hi, Lisa. I'd like to bump this feature request. The inability to submit Tasks to existing projects is a huge hole in the Wrike workflow. This request has been around for over two years. Has there been any movement on it? Is it in the backlog? Any info you can provide would be appreciated.
Hi MOHAI! It's possible to create a task by request form submission and add this task to an existing project:
Please let me know if that helps!

Thanks, Lisa, but that isn't a viable solution for any company operating at any scale.
What we (and others) are looking for is a way to select from existing Projects during Task creation. A Wrike user would be able to query the backend to get a list of all current Projects dynamically.
Thank you for letting me know MOHAI, I'll let our Product team know your feedback!

Hi There I agree. I like the control we get by using Request Forms (Field get filled in correctly). It would be good that when creating a task via the request for you get the option to select an existing Project. That Project would become the parent. I would see it the same as being able to select a user while filling in request form. Thanks
I love the idea of being able to select an existing project!
Lisa,
Any movement on this feature? What does the Wrike Product team think? For end users (not power users), this would be a huge win. And the tech shouldn't be very difficult. The API already supports querying the backend to return a Project list via GET /projects. Thanks!
MOHAI
Hi John Kelso Ashley Fischer MOHAI, thank you for your messages. At the moment we don't have updates on this feature, but it seems that you can achieve something similar to what you're looking for with the following workaround:
1- Create a single select custom field named "Parent folder" or similar, and add as many options as parent folders needed:
2- Then you'd need to create an automation rule that would add the task to the relevant parent item when the corresponding option in the custom field is selected:
3- Finally, when creating your request form, you can add a single select question that should be mapped to the relevant custom field:
This way, users could choose the parent item the task should be added to when filling in the request form. Please, let me know if you have any additional questions 🙂
Thanks Juan, I appreciate you taking the time to think of this option and add it to the thread.
Alas, that approach only works well if "Orders" and "Management" are your only two Projects and that never changes. Consider what will happen when a new Project (let's say, "Fulfillment") is created. Someone would have to manually update the "Parent Folder" field you created in step 1.
There is only one way to make this work and that is for request forms to be able to dynamically query the backend and return a list of Projects that can be selected from. Any other approach means someone is tasked with manually updating Wrike any time a new Project is created.
We have hundreds of projects so yes, the dynamic portion is really needed just like when adding a location tag.
Thank you for sharing additional feedback here MOHAI, Richard Herzog, we understand it. I hope Juan's workaround could still be useful for some use cases though. We'll share your inputs with our team 👍

Adding a use case to this thread in hopes of pushing this up the product enhancement list.
Our Marketing Department has hundreds of projects going simultaneously. Most of these are not repeat projects. Many of them extend over months. Some of the requests needed for these projects won't come up until we're further into the project.
Example: New Event Project is created today for an event happening in a year. This is a new event the company has never done before. This project is created using an Event Project Form, but since it's a new event, lots of things haven't been decided yet.
During event planning, the team decides to produce a special publication that needs support from the Design team. It would be helpful if our Design Task Form could be easily attached to the existing project for the whole Event. This can be done in the current environment manually, but the manual step can easily be overlooked, causing confusion for the Design team and the Events team.
Thank you for the detailed use case Natalie Hadley 🙌

Lisa - Any progress here? Many users would definitely benefit from this feature. Thanks!
Going to pop in on this one too, and stat that this request is similar to the other Thread I am following, that currently has 65+ upvotes

Hello MOHAI and Brent Heaton thank you for your comments. Although we don't have updates on this suggestion at the moment, it should be possible to achieve something similar to the original request using dynamic request forms. I understand the limitation here would be that too many options should be manually added and that being able to choose the project as when adding a tag would be the better solution.
I've passed your feedback on to our Product Team and we will keep you updated in case any changes are implemented 👍
Hi, this is something that would allow us to save alot of time as we have hundreads of projects, do you have any update on this feature ?
