We are so excited to announce the latest release from our Product team - email communication with non-Wrike users ๐Ÿ”ฅ You can now communicate with external people outside of your Wrike account by receiving and sending emails directly from Wrike tasks to external email addresses.

This has been one of the most demanded feature requests in the Product Feedback forum and we are happy to deliver it to you today! Thank you, everyone, who has participated in the beta testing, shared their feedback on the Community thread, and supported the idea with their upvotes, we appreciate your contributions ๐Ÿ™Œ๐Ÿผ

How to start using email communication with external users?
ย 
To make this feature available in your account, you'd need to set yourย external request formsย toย allow email communication. After changing the settings whenever a person submits a request form, Wrike users can start communicating on the task created with the external requesters via email and vice versa.

The external collaborator tool is so powerful in keeping Wrike centralized within our processes, are there iterations already planned for this? It would be interesting to understand what the roadmap looks like for this feature

Thanks for the explanation about custom project types Cody Rogers - I was struggling to figure out why the feature was working on one of my forms (new: task based) but not the other (old: project & blueprint based), because I couldn't even find the documentation that said it wasn't available for projects!

Unfortunately I'm not sure we have the time to spend re-doing all our blueprints and our primary form to take advantage of that in the place we could use it most, but at least I know it wasn't something I had done wrong.ย 

Relatedly, in Wrike the feature is referred to only as "email to requestor," but all the documentation calls it "email communication with non wrike users" so all of my searches to find answers were coming up with nothing. I had to ask one of the wrike team members on our account if there even was documentation on the feature, and he sent me the article link.

We have external clients (non-users) that we would like to reach out to with questions on specific projects. We don't want them to be part of the chat or see the "guts" of the project. As of now, we need to use Outlook to field any missing information which creates a black hole of information.

Is it possible to incorporate the "Email to requester" function as a custom feature so that a wrike@wrike.com email can be added within a project (without the external party being a requester)?

Hi folks! For now, this feature works as described, meaning that it's only possible to email external requesters. I don't have updates on whether this functionality will be extended in the future. I'd advise creating a separate Product Feedback post to suggest it ๐Ÿ‘

Hello everybody!

I read the poll article where Wrike customers asked for the ability to send email through a task and receive it in the same task. Wrike's product people only created a stopgap through the use of a form, however, this does not solve the customers' difficulties. I believe the CEO of Wrike does not have access to these requests. It's not possible that a customer request made in 2017 hasn't been implemented by today in 2023. I think Wrike is a good system, but it seems like the product team doesn't understand their customers' expectations. This creates so much discomfort that there must be many customers who have chosen to abandon Wrike and use other tools. I feel like there is a lack of empathy from the product team towards customers. This is very bad. This is my feedback for the Wrike company.

Hi Lisa, good morning!

I talk about the solution to this topic for sending emails through Wrike. The solution found was to send a form to the Customer, to receive feedback. In other words, I have to send an email with a form link for the customer to respond. You could do this directly from the Wrike task. Contact with customers does not always take the form of a survey. Sometimes it is necessary to request feedback from the customer for a single piece of information, as occurs in Jira for example. Therefore, I believe that the expectation of customers who opened this topic was to be able to send emails through a task and receive emails through that task.

Diana Martin Cody Rogers Happy to report that since the lightspeed update I now see this option for projects that came in by request form not just tasks. Hurrah!ย 

However, I do still wish the language the documentation uses for this feature was the same language used in app: i.e. "email to requestor"ย  โ€” in fact that phrase isn't even mentioned ONCE in text above, even though that's the name of the tab in the item's feed/comments section.

I am looking forward to the release of a version where we can update a task by email and have the replies from people not registered in Wrike captured automatically in the comments. Asking everyone to fill out a form is impractical, and our organization is really trying hard to cut down on phishing and spam, so emails from a personal email in the organization as much more likely to be read. wrike+#########@wrike.com is often filtered as spam by our IT settings.

I'd like to echo Liz Swaffield's comment. Monday.com works perfectly well with "guest" users and our core team can share and engage with external stakeholders as required...it seems very 'limiting' and 'controlling' that Wrike does not facilitate this!

I totally agree with what Liz Swaffield and Benjamin Rodd are saying. If your competitors like Monday.com allow the "guest" email function, why would you risk not implementing it, thereby keeping Wrike users in the app rather than in 3rd party emails? This a productivity/communications no-brainer!

Asking everyone I email about a project to make a Wrike account or register is impractical, as I interact with many parties and departments. One email every couple of months to confirm details from a department like IT, whose contact often changes, is not worth asking them to make an account.

I really want the comments by email feature to capture all these little emails I have to send to get everything in place instead of me having to search my inbox frequently.

Thanks for your comment Lisa using collaborator licenses for this is impractical for us. a) Everyone would need to register, b) we'd either be paying a fortune or we'd need to constantly manage onboarding and offboarding collaborators as we get answers to questions. We need a way of involving people other than the requester in the conversation and this cohort changes with each task or project.

lately, our emails to requester become multiple threads in the requester's inbox.ย 

For example:

they fill out request form

we reach out via email to requester to confirm addressing the issue etc.

requester replies to that email

we reply to that email by clicking "reply" on the email in the request card

it doesn't continue the thread, but sends a standalone email to the requester.ย 

ย 

We would like to see a "conversation" thread with the email to requesterย
