Folders

is there a way to create a folder that searches for a wildcard based search.

Eg - we have a number of tasks titled floorplans.

structural floorplans

electrical floorplans

assets floorplans

etc

I would like to create a folder that allows me to see all floorplans tasks (regardless of the prefix to the work floorplans)

Hey Dan - what a cool automation idea! It's not something you can do right now but it does open a few questions from me though 😇

  • Where and how are these tasks being created at the moment? It sounds like there should be a Folder where all floorplan tasks should be created. Perhaps with Subfolders within it specifying structural, electrical etc.
  • If creating a top-level folder called Floorplans is not an option for you, perhaps create a Folder 'Floorplans' and then manually tag this Folder to every floorplan task that's created. This way the Floorplan Folder will contain all tasks, but it's up to the creator of the task to ensure they tag this Folder every time.
  • For now, you could use Search and use keyword 'Floorplans', you'll then be given a list of tasks with that keyword. From there you can use mass editing to move them all at once into a preferred Folder. However, unless future tasks are created in this Folder it won't automatically drop them in there, again you'd have to use the tagging approach mention above.

Looking forward to hearing your thoughts on the above 🙌

Yes, Tagging would work - but only when users REMEMBER to add the tagging (since the tagging doesn't copy when projects are created from templates).

Searching "floorplan" would not really work for us. - Each project should generate minimum 6 flooplans. we run 200 projects (All complete at the same time)

So we would have "Customer AAAAA electrical floorplan" , "Customer AAAAA Structural Floorplan" etc etc. So searching "floorplan" would generate a list of 1200 floorplans. Sometimes we need to see all the Structural floorplans , sometimes all the floorplans for Customer AAAAA.

Currently the tasks are generated from a template - so only have the customer tag on the main project when added manually

Hope this explains a bit more detail

That helps a lot, Dan, thanks for that level detail.

So, it looks to me like we can capture the detail you're looking for, alas, not automagically i.e. auto-tag a Folder to a Request submission.

For now, I feel like Search is the best way for you to gather these similar tasks together in one place. Perhaps take a look at the Search Commands available. You can be very creative in terms of using some Boolean-like searches like combining, excluding and isolating keywords.

I think your idea has a lot of value though and would be something other members would be interested in seeing too, so it would be great if you could post the suggestion to our Product Feedback section so our Product Team have visibility of it and other members can vote for it 👍
