Use Workflow Analysis in Wrike Analyze
TL;DR
Workflow analysis shows status changes over time. Create one pivot for individual task history and another for overall workflow stats to spot delays, skipped steps, common transitions, and tasks stuck in a status.

Overview
Workflow analysis helps you review how statuses changed over time, not just the current status of a task or project. In this article, you’ll create two pivot widgets: one to track status history for individual tasks, and one to review workflow trends across many tasks.
Note
Both tasks and projects have status change history tables. Use the table that best matches your question.
Create a Task-Level Workflow Widget
- Create a new pivot widget.
- Name it “Task progress detail tracking.”

Add these rows:
- Project Name
- Task Title
- Task Link
- Task Due Date
- Task Status Change History Change Date
- Task Status Change History Old → New Status

Optional: Add Task Status Change History Old Status and Task Status Change History New Status as separate dimensions if you want to filter or group status changes in more detail.
What This Widget Helps You Find
Use this widget to:
- Review the full status history for each task.
- Spot tasks that skipped workflow steps.
- Find overdue tasks that never moved out of New.
- See which tasks moved to In Progress and stayed there.
Note
If New Status is N/A, the item is still in the Old Status. In this case, the change date shows the current date.
Create an Aggregate Workflow Widget
- Create another pivot widget.
- Name it “Workflow progress statistics.”

- Task Status Change History Old Status
- Task Status Change History New Status

Add these values:
- Count of Task Status Change History ID
- Average of Task Status Change History Time Spent (minutes)
- Max of Task Status Change History Time Spent (minutes)
- Edit Average of Task Status Change History Time Spent (minutes) and add / 1440 to convert minutes to days.

What This Widget Helps You Find
Use this widget to:
- See which status changes happen most often.
- Measure how long tasks usually stay in each status.
- Find tasks that move backward in the workflow, such as Completed to In Progress.
- Spot items still waiting for action when New Status is N/A.
- See whether some statuses or workflow paths are rarely used.
- Find tasks that move straight from New to Completed, which may mean steps were skipped.
Tip
If you want to inspect a specific status change, add Task Title and Task Link to the widget.
Go Deeper With Workflow Analysis
You can extend this analysis by:
- Adding another dimension, such as project type.
- Finding projects that move backward in the workflow.
- Checking what percentage of items that reach On Hold are later completed or abandoned.
- Adding Standard Deviation and Median if your record count is large.
