Overview

Admins on Business and higher accounts can edit account-wide custom workflows. On Enterprise and Pinnacle accounts this is a controlled admin permission, so some admins may not have it.

Space workflows can be edited by space admins of the corresponding space.

Note

Space admins can add automatic assignees to space workflows irrespective of their user license type.

Editing Account-wide Workflows

  1. Click your profile image 1 in the sidebar.

  2. Select Settings 2 from the dropdown menu.

  3. Click Workflow 3 in the left-hand navigation panel. You’ll see a list of all workflows created at both the space and account levels in a Table view.

  4. Click the title of a workflow you want to edit. If you don’t see it, press Ctrl + F (or Cmd + F, if you're on a Mac), and search for it in the list.

  5. Click Add Status 4 at the bottom of any status group to add a status to that section.

  6. Click an existing status to rename it 5, change its color 6.

    Note

    Items that are currently in this status will have their appearance updated correspondingly.

  7. (Optional) Enable the following options:

    • Assign on status change 7.

    • Allow manual transitions to the following statuses only 8.

    • Add approval 9.

  8. Drag and drop statuses to arrange them within a status group in the order that makes the most sense for your team. The order you choose is the order that statuses will appear in a item’s drop-down status menu.

  9. To delete a status, click Delete status 10.

  10. Click Save in the upper right-hand corner 11.

Note

The default workflow of your Wrike account can be edited in the same way.

Editing Space Workflows

Space admins can make changes to space workflows.

  1. Navigate to the relevant space 1 in the sidebar.

  2. Click the gear icon 2 next to the space overview in the sidebar.

    OR

    Click the gear icon 2 below the space title in the current view.

  3. Switch to the Workflows tab 3. You'll see a Table view listing all workflows created within the space.

  4. Click the title of a workflow you want to edit.

  5. From the editing window, you can edit the workflow as described in steps 5-8 in the above section.

  6. Click Done 4 to save the changes.
