๐Ÿ’š Releases - Wrike Lightspeed, Automation, New Table View, Custom Item Types, and a BIG Thank You for your Feedback! (04/24/2023)

Announcements

We'd like so say huge thanks to everyone who shared their feedback in the previous release note! Taking this into consideration, we're now back sharing them weekly, and we'll also be looking at all the additional feedback you shared with us. More to come ๐Ÿ‘€

Feature Updates

Many of you have already started using some of the enhanced functionality that we are gradually releasing under our brand new Wrike Lightspeed experience. Starting today, you will see a new toggle in your settings to enable the whole new experience in your individual account. When the toggle is enabled, you'll get the new navigation, new Board View, new Table View, and new Work item view โšก๏ธ Try it out and be sure to let us know what you think in this Community thread!
  • Automation - Two New Actions Added 2๏ธโƒฃ
There are two new actions in Wrike's Automation! They are called Duplicate item and Duplicate as subitem and they do exactly what their name says ๐Ÿ™‚ This will be a welcome update for those of you who rely heavily on templated items.
  • Automation - One of the Triggers Updated ๐Ÿ”ฅ
The Direct subitem statuses change to trigger got an update - you can now select if you want the rule to work when not only all subitems' statuses change, but also when the status of any of the subitems changes! This is a great enhancement for data accuracy and reporting and allows to sync the data between subitems and parent items.
We've made our search in Wrike Assistant even better:
Before: you entered the search query and were redirected to the Wrike Help Center to see search results.
Now: we added smart suggestions into the search field - when you click on them you would be redirected to the selected Help Center page.
You can now use the drag-fill option to mass-edit cells in the new Table view. It works the same as it did on the "Classic" Table view. Just pick a cell, drag the dot which appears and there you have it.
You can now copy/paste multiple cells all at once. The functionality works the same as in the old Table view - use keyboard shortcuts for that (Ctrl+C, Ctrl+V on Windows and Cmd+C, Cmd+V on Mac).
When creating a blank space, you can now select which item types will be default for this space. It is possible to replace default tasks/folders/projects with custom item types as well as just add additional options to the existing list.
This way all users will see the options you pre-selected when they try to create a new item.
  • Work Item View - Small UX Improvement in the Description Field ๐Ÿ™‚
We have recently made it possible to change the width of the Work item view, and now the toolbar is adjusted to the view size (all the options are still there, just hidden). It works the same as in the task view (or project/folder info panels).
  • New Toolbar - Share Space Button in Header ๐Ÿคฉ
Not so long ago, we added the Share button for spaces in the classic navigation. Now, a similar button is available in the new toolbar. Clicking the button takes you to space settings where you can add members to the space.
  • Assigned to Me Available in Sidebar on Team Plan ๐Ÿ’Œ
Now, users on Team plan can open the Assigned to me section using the button in the sidebar. The section displays the same tasks as the Assigned to me widget on the Home page.

Fixes

  • Not Possible to Set Zero Value in Numeric Fields
In Work Item View and New Table view, when some of you tried to enter "0" in a numeric custom field (percentage, currency, number), the value wouldn't be saved. Now it's fixed ๐Ÿ”ง
  • Approvals Not Started When Creating Custom Item Types From Request Forms
When using approvals with custom workflows (starting an approval upon status change) the approval process would not start if the status was applied to a custom item type created via a request form. Now fixed โœ…

Love the Automation - One of the Triggers Updated and the updates on the table view.

On the new table view I am still missing (correct me if I am wrong)

  • drag-fill option for start and due dates*ย
  • drag-fill option for Assignees
  • drag-fill option for Status*
  • drag-fill option for single select custom fields*
  • Undo function

*drag-fill option appears only when just a new value is applied and not when just selected the value that was already applied

Keep up the good work!

Thank you for the write-up on Lightspeed! Can't wait to send it out to my team.ย
Love that you have tied up so many of the loose ends we have talked about in recent posts. Personally thrilled to have the mass edits back in table view! I had to use both tables because I use the mass edit all the time, but love the new table look.

Hi Wrike team.ย  Was the new Home page removed from LightSpeed?ย  We are no longer seeing an option to get to it (including clicking on the company logo).

Also, do you have definitive date/time period for adding the email to task permalink into the Work Item Views (new task view).ย  This is a big sticking point with using LightSpeed for many of our users as this is no longer available.

Thanks!

Michael

It would be a big plus to have the ability to add the action to set the due date in 7,10,15 or 30 days when a new task is created.

Hi folks!

Michael Kelley Yes, as we mentioned in this post, with everything available in the sidebar, we've eliminated the need for a Home page, allowing you to jump right back into your work. Plus, we've made it even easier for you by remembering where you left off when you closed the workspace last time. Customisation of the sidebar & view header allows for a cleaner and easier experience. Hope it's helpful!

In relation to the email integration, it's planned to be added soon. We'll keep you posted!

Andreas Hoffmann Project progress and rollups are also planned to be added soon ๐Ÿ‘

I've noticed that "Owner" has been changed to "Assignee" at the project level in Lightspeed.ย  Curious to know what the reasoning behind the change of labels. There is potential here for confusion as to who "owns" the project vs who the project has been "assigned to" for managing it. ย Can Wrike either consider using Owner/Assignee or deliver a secondary field for Owner.

I totally agree.ย  We use owner and asisgnee diffrerently.ย  We need both.

Hi Albert Castro, thank you for bringing this to us. Owners and Assignees are equivalents. In the new Lightspeed experience, this role is called "assignee" while previously this function was named "owner" - please note that previously the assignees of the projects were called "owner", that is to say, there weren't both owners and assignees, only "owners" that were assigned to the project.
ย
This change was designed to avoid any possible confusion and also to align this label to the one already applied to tasks.
ย
The "Author" field remains as always. Please let us know if you have any additional questions. In case you need to create any additional field, you can easily achieve this by creating a custom field.
ย

Hi Juan, this WILL lead to confusion.ย  That is what is Al was saying above.ย  There is a HUGE difference between an Assignee and a project OWNER.ย  Can you please take this concern back to the Wrike product management team for review.ย

If Wrike is going to arbitrarily make changes to delivered field names, at least give the customer the option to override them with one that works for our reporting purposes.

Thank you!

Michael

Totally Agree!ย  We used them differently.ย  The owner is the project owner, multiple assignee complete the various tasks.ย ย

Thanks

Hello,

We feel the same at our organization. We have project owners that are responsible for the entire project, as well as different task assignees that are responsible for doing some aspect of that project. The project owner has further responsibilities for keeping the individuals assigned to various tasks with the info they need, final reporting, etc. We definitely operate around the differences of these roles.

Thank you,

--Steve

I am setting up Owners as Assignees on the Project level, and keeping Assignees on the task level. I think that might work. I will test it out in my Analytics Boards later, but I believe you can differentiate between Project Assignee and Task Assignee. That should do for us. Hope this helps!

Hi Michael Kelley, thank you for your detailed reply. As mentioned before, the change of name does not reflect a change of the role itself: a project owner is equivalent to a project assignee, and as stated in our Help Center, represents the person or people who are responsible for a project.
ย
However, I do understand that it can be confusing for you and other Community members. For that reason, I'd kindly ask you to please create a new Feedback Request so other users can easily find your suggestion and upvote it. This way, our Product Development Team will have a better understanding of the importance of this idea.

In case you have any additional questions, please let us know ๐Ÿ‘

I agree with some of the sentiments about changing things in the UI without thoroughly ASKING the USER BASE if any potential changes would be GOOD or BAD...ย  it seems that with many software companies, the development teams just make changes on what they think is best... and there is a huge disconnect between the dev teams and the actual users.

Is this lightspeed thing going to become forced?ย  I do not like it at all.ย  AT ALL.ย  Part of having a dependable "go-to" solution for something is knowing it is stable, dependable, and does not completely shuffle it's interface.ย  If it is not broken, don't fix it.ย  I don't need a new washing machine every year.ย  I don't need a new car every year.ย  I don't need a new pet every year... you get the idea.ย  There was no need to completely destroy the old interface and shuffle everything around. There is a level of productivity that is lost because you force users to re-learn how to navigate and re-learn the entire interface again.ย  I have OTHER projects that I need to focus on, and don't need to be distracted by my work planner undergoing a face-lift that was not necessary.

I noticed that some things which used to require 2 clicks now require 3 and some that required 3 clicks now need only 2.ย  So any "improvements" in efficiency are a wash... and some of us (admins of the app) LIKE the HOME PAGE.ย  Rather than removing something so useful were you can get a birds-eye view of everything, why not make the massive icons smaller so more fit and no scrolling is necessary???ย

I have real work to do and things to focus on.ย  Major changes in the structure and design of the interface should be tested by a very large group of users.ย  Does Wrike have a beta user-testing group that is not employed by Wrike?ย  As much as I don't have time to mess with something like that, I would make time because you could be massively impacting how I currently do work in the future.

Modern software design teams (not just Wrike) need to start being more considerate about the scope and scale of revisions to an interface and how those can negatively affect current users just as much as attract new ones.ย  (And I feel the same way about updates in general to iOS, Windows, Office... etc.ย  some are just steps in the wrong direction and forcing users to re-learn an interface better be WORTH it!)

Rather than completely re-designing an interface, work on the massive list of suggested improvements to functions or features using the current interface.ย  Make the product better does not necessarily mean shuffling around the interface... you only introduce MORE things that will need to be improved.ย  I would welcome an interface change only after ALL backlogged or back-burnered requests are addressed.ย  THAT is the time to consider re-doing the interface!

John

I totally agree with John.ย  The "change fatigue" these days can be overwhelming and learning a new interface is frustrating. It doesn't help those of us who continue to need to sell the system as a benefit in order to gain user adoption. Not to mention, it slows our productivity.ย  It seems like we just went through a UI change a couple years ago.ย  We love the home page as it is now, with the canvas tiles... it's easy to see, understand and navigate.ย  Losing that is certainly not an improvement, in my opinion.ย ย

๐Ÿ‘ Spot On ๐Ÿ’ก Innovative Approach ๐Ÿ’ช Stellar Advice โœ… Solved ๐Ÿช„ Remove Kudos

I have to agree with the negative impact on productivity. Lightspeed is (ironically) painfully slow. It has changed how I share my screen in meetings, train new users, and get my work done.

The mass edit with the drag handle is a great idea, but it is maddening to work with. I click the cell to select it and it opens the cell. I have to click away from the cell to get it to close and make the handle appear. I can right-click the cell and the handle appears immediately, but as I try to drag it, the right-click menu pops up. How about making a mouse-over cause the handle to appear? Or a single click is "select," and a double click is "open?" I know it isn't that simple, but there must be a solution. I had hundreds of changes to make yesterday and I was glad the office cleared out early so they didn't hear me growling at my computer.

I was spending most of my meetings waiting for Wrike to load so I can show the group something. I now have to open all of the pertinent projects and Wrike info in separate tabs before the meeting so I can just click the tab and not even try to load the page live.

I also have to admit, I miss the home page too.

I agree with John, Nancy, and Kelly. We did just go through a massive UI change a couple years ago. It was a rough transition then just like it is now. Massive and frequent shifts like this are so detrimental to productivity.ย

And I feel the same way about so many backburner requests. There are so many improvements people are asking for, and some that have literally had a topic thread in this forum for years. Keeping up with all the changes and updates is practically a full time job, but so is finding work arounds for all the things users have been asking for that still aren't being addressed.

6
๐Ÿ‘ Spot On ๐Ÿ’ก Innovative Approach ๐Ÿ’ช Stellar Advice โœ… Solved ๐Ÿช„ Remove Kudos

Just adding to the chorus here that I agree with the change fatigue. We have had a hard enough time getting folks to adopt, and every time there are major UI changes like this, we not only lose productivity, we also lose adoption. I have been using lighting for the last several weeks, and agree that it just doesn't really work well. I think the dashboard is more intuitive to other software UXs, and it had made things easier and faster to navigate through. The only minor annoyance there was not being able to remove some of the Wrike-developed widgets that were meaningless to me.ย

I encourage the team to take some time-out to review the request changes that have been made - and repped, that are still lacking - like different views showing different numbers of active tasks.

๐Ÿ‘ Spot On ๐Ÿ’ก Innovative Approach ๐Ÿ’ช Stellar Advice โœ… Solved ๐Ÿช„ Remove Kudos

I concur with the above statements.ย  Lightspeed is not ready.ย  It should not even be out of Labs to be honest.ย  Focus needs to shift away from another overhaul of the UI experience, the exception being to address the major UI Accessibility issues that we reported to you almost 3 years ago.

More effort needs to be placed into improving what your customers have been requesting, including:

  • Enhancing the AI Engine/Bot,
  • A simplified reporting interface (SiSense is way way WAY too complex),
  • A fully functioning set of project management tools within the application itself (examples: improved forecasting, burndown charts, better Agile PM capabilities - Scrum boards with Story level focus - I could go on).

We have been informed that some of these concerns are in Wrike's roadmap to be delivered in either 2023 or 2024.ย  We remain hopeful that Wrike can deliver on what is badly needed.

Lightspeed needs to be seriously reconsidered by the executives inside Wrike.ย  If forced on us as is this Fall, I can not promise we will not end up migrating to another platform - and as a person who knows the pain points involved in making a major move, I am hopeful we can avoid it at all cost.

Please reconsider where you're focusing your development time and listen to the concerns being shared.

Michael Kelley you got it! These are coming sooner than you think, but to make them and much more possible, it is necessary to implement all the changes we're seeing. Lightspeed is almost ready, but still in BETA, so it's natural to have some flaws.

My advice is move your projects and tasks to work itens, use the new table view, custom fields, automation rules, etc.

Tip: Green/Black Belts can get to know first hand about what's coming, just participate in the Zoom calls that happen time to time.

Hi folks! We appreciate all the feedback you have shared with us regarding the upcoming UI changes and feature improvements ๐Ÿ™

First, let me address the โ€œchange fatigueโ€ that many of you mention here. We understand that change can sometimes be overwhelming, especially when you've become used to a particular look and feel of Wrike. We also believe that these changes will ultimately bring significant benefits and enhance your experience with our solution:

  • Embracing innovation: We continuously strive to innovate and improve our platform to meet the evolving needs of our users. We understand that change can be unsettling, but it also presents opportunities for growth, increased productivity, and enhanced collaboration. Many of Wrike Lightspeed improvements have already unlocked some of the use cases that were previously impossible, like custom item types, or enhanced capabilities of the new Table view.ย
  • User-centric design: Our team has carefully designed the new UI and features with our users in mind. Extensive research, user testing, and feedback from this Community have informed these changes. We truly believe that these enhancements will make your overall Wrike experience more productive.
  • Adaptation and support: We understand that adjusting to a new interface may take some time and effort. To facilitate a smooth transition, we are providing and will continue to provide support materials, including tutorials, guides, and live webinars, to help you navigate and take advantage of the new features. Our Support team is also available to address any specific questions or concerns during this transition period. You can also reach out to your Account team at Wrike to discuss any challenges you may have.ย
  • Feedback: Your feedback is invaluable to us, and we appreciate you sharing your concerns about change fatigue. We encourage you to continue providing us with your feedback and suggestions as we value your input in shaping the future of Wrike. Our team is committed to actively listening to our Community, and we will take your feedback into account for future updates and improvements.

Let me also address other points:

  • Home page: Our research has shown that very few customers have used it. However, weโ€™ll be adding different elements of it to other Wrike instances in the near future, so these arenโ€™t going to be lost. We will be informing you on all of those changes and additions.ย
  • Loading: Some of you mention that Wrike Lightspeed is slower than the classic platform. I would encourage you to provide specific examples of which exact views are loading slower. We are researching the loading speed at the moment, and our research shows that the new Table view is loading much faster compared to the classic Table view, especially when it comes to large amounts of data. We have also noticed that in some cases, the new Item view can be a bit slower than classic tasks and projects, and weโ€™re fixing that at the moment. Please make sure to report if you encounter slow loading time, either here or by raising a ticket to our Support team. Kelly R your case has already been noted, thank you for sharing!ย
  • Other enhancements: Apart from Wrike Lightspeed, our team is also researching and working on multiple improvements, please stay tuned for them, weโ€™ll be announcing them in the Community and other news channels in the upcoming weeks and months. Iโ€™d also like to mention some of the user-generated ideas that have already been implemented this year:

STATUS: LAUNCHED ๐Ÿš€Bullet points in task comments

STATUS: LAUNCHED ๐Ÿš€New Table View suggestion - add "last modified date" to selectable columns

STATUS: LAUNCHED ๐Ÿš€Hyperlinks in discussion

STATUS: LAUNCHED! ๐Ÿš€Clickable links in description in External Request Forms

STATUS: COMING SOON...๐Ÿ•‘ (AVAILABLE IN THE NEW BOARD VIEW - WRIKE LABS) Add subtasks to the Board View

STATUS: LAUNCHED ๐Ÿš€Custom Field HTML Link

We hope that you find these useful ๐Ÿ™‚

In a nutshell, Iโ€™d like to say a HUGE thank you for your continuous feedback here and in other threads, we really appreciate it ๐Ÿ’š Our Product team is keeping a very close eye on it, so please keep it coming!
