[Status: Launched! ๐Ÿš€] Document Management

Any ideas on document management within wrike?  As funny as that sounds it would be a very powerful tool.

 

We are a design/build firm.  Let me give you a simple example:

Currently, if we complete a design we submit a proposal.  This proposal gets saved on our file server.  Sales people traveling remote have to connect via VPN (rarely works etc.) and where does it end up?  There desktop, not shared with anyone else.

Now they get the approval, yay!  Except they start a task for the ordering process.  No proposal to be found.  So now we have to follow up and ask, signed proposal?  New Customer form?  A few days go by because they are traveling.  We get it posted and start ordering.  

We lose about a week all the time on this and on top of that file server access is very cumbersome.  I am wondering if since we open a project up on every situation is there a way anyone has created a bit of a workflow / document management solution within Wrike?  Especially with the version controls it would be great.

Greetings: Please advise where a document management system might be on the roadmap. We dangerously close to having to use another systems outside of Wrike...and that's not good.  We're having a hard time wading through our source files, drafts and invoices as they are all in one big bucket.  Please advise when you think this might be addressed. We are bringing this up with our Product team to see if we can get a more concrete answer for you (to at least be able to tell you if it's on the short term roadmap). Hi everyone, I apologize for not having a faster answer. I've checked in with Product and this isn't currently on the their short-term roadmap. 

I know that this is something everyone on this thread is interested in and we'll continue to bring it up with the team. In the meantime, please let me know if you'd like to talk through your processes to see if there are any best practices we can suggest based on existing functionality.

I really like Cory's suggestion above.  Perhaps by adding a section in the middle panel called "Documents".  Or to have some simple OneDrive plugin - I really want to keep it all within Wrike.

Another work around is to create a custom field driving to a OneDrive...I am hoping that we can get a Doc Management system in Wrike to keep it all in one place.

Patricia - how do you have the custom field set up for OneDrive? Is it a direct link to a specific document or just to the OneDrive account in general?

Another workaround: As we are trying is to manage our documents in Wrike, we have created tasks in our Projects called DOCUMENTS (one for SOURCE, DRAFTS, FINAL FOR HANDOFF). It's an extra step and though not elegant keeps our files/documents in Wrike and in manageable buckets. 

My dream would be that no matter where your files are, i.e., if in a task, they all land in the documents section. And even more that we can see an elegant document management system: Perhaps using the Analytics panel on the far right...I don't use that area for anything.

Sorry, I missed your question a month ago...I am lagging.  

I create the custom field to One Drive to 'just' the folder I want the team to have access to.  That Drive is set up to store our source, drafts and final files.  We still have our files in Wrike, but for a safety net we also post/store our files in OneDrive.

I am new to this, but was wondering if you could tell me how to set this up with One Drive? I currently just add all the documents to the top layer f the project where the clipboard icon is.

+1 Would love just a standard FILES tab on top with all the other views.  It would give all the files within that Project/Folder/Task/Subtask.  Things get lost once completed and also hard to find even if they aren't completed.

Our team creates a "project jacket" for each request on dropbox, and we have added a custom field to enter the dropbox URL on the main project. This has made it very easy for everyone to drop assets into the correct dropbox folder without creating tasks that clutter up the system.

Is there currently any new update, I think Wrike is doing a disservice to those using the system. Not having the ability to manage documents within the system may push my team to use another platform. This situation dates back to 2016 with no resolution on a product roadmap, which is a bit scary.

Also having the ability to move a file from one task to another task would be extremely helpful in streamlining certain processes for efficiency. 

Can someone provide a straightforward answer as to when this will be resolved if ever.

@stephanie add a +1 from me too for a place to store documents. Our team migrated from BaseCamp, and it has such a feature. Whenever a document is uploaded, it goes into a "Files" section within that Project. I don't think there was any version control to it, but you can at least see all of the versions that have been posted, along with the date they were posted.

Our entire team is finding it very difficult to keep track of where documents are in Wrike. What often happens is a person posts a draft in their task, then marks that task Complete, which essentially hides it from the normal "active" view for everyone else.

Your search command tips are helpful for now. I'll share those with the team as well as the tip to store Project-related attachments in the Project info section.

Quick update here: Our Product Team are researching and discussing this feature internally. It's a big project and no dates have been determined as of yet.

I love the idea of a "Files view" in folders and projects - any files attached to a task or the project view would also appear in this "view". 

Using the project view as a top-down view for files would also be amazing - similar to the above, any files attached to tasks would automatically show in the project view too (as tagged, not duplicated).

Maybe going off thread here but it would be also helpful if the "Attach Files" button, on projects/tasks, would allow the attachment of complete folders (in Gdrive/Dropbox/Box/Onedrive).

Perhaps an "Attach Assets Folder" option or something - it is very tedious attaching every single file via cloud storage. It's not always possible to drag and drop.

Hi all, just a quick update that might interest some members here ๐Ÿ™‚

You can now see the file attachments of tasks when using Search. Note that clicking on the document, it opens in the Viewer, and you can click the Parent at the top of the viewer to open the task.

Stephen thanks for the "search" files post above. That was helpful. Our team is new to Wrike and I too am searching for the best method to manage my project documents, or at least a way to tag them in categories as mentioned above such as "source, drafts, final, print ready" etc. 

I see that this discussion thread has been going on for many months. Can you provide an update on where Wrike is with the request for a document management system?

This Request about listing all attachments isn't the exact same request as what's asked for here. Though my update from the Product team will be of interest to members here.

To sum up: the Product Team are looking to develop a better way to manage files and their visibility in your Workspace its implementation will take some time as it requires updates to other affected areas of the Workspace. I'll keep you update here with new information as I have it.

Having implemented Wrike just a few months ago, not being able to see all documents in one place is my team's #1 complaint. We're stumbling through it, but I'd like to vote that a Doc Management view be enabled. Thank you!
