[Status: Launched! ๐Ÿš€] Document Management

Any ideas on document management within wrike?  As funny as that sounds it would be a very powerful tool.

 

We are a design/build firm.  Let me give you a simple example:

Currently, if we complete a design we submit a proposal.  This proposal gets saved on our file server.  Sales people traveling remote have to connect via VPN (rarely works etc.) and where does it end up?  There desktop, not shared with anyone else.

Now they get the approval, yay!  Except they start a task for the ordering process.  No proposal to be found.  So now we have to follow up and ask, signed proposal?  New Customer form?  A few days go by because they are traveling.  We get it posted and start ordering.  

We lose about a week all the time on this and on top of that file server access is very cumbersome.  I am wondering if since we open a project up on every situation is there a way anyone has created a bit of a workflow / document management solution within Wrike?  Especially with the version controls it would be great.

100% agree with Sheri. We need a one-click option to see all final files related to a task. Even more awesome would be if you are in the "project" to have a one-click view of all final files in that project and corresponding tasks all in one place.

Hi guys, we've released something I think you will find very useful!

You can now create a file widget from a Project in your Dashboard so you can see all documents within that Project! You can also create Project widgets where you can see all Projects within a Folder on your Dashboards.

Stephen, as opposed to a dashboard widget is there anything attached to a project?  We have hundreds of projects so dashboards would be tough.  Ideally on the project panel something to see all attachments in that project would be super helpful.

Stephen, this is definitely an improvement. At least now all the files attached to a project can be found easily. I agree with Ivan, though, that a better solution would be to have a view of attachments - preferably in reverse chrono order - viewable from within a project.

Agreed - this is a great improvement. One suggestion would be when creating the widget the option to sort by "approved" status, so that the only files you see are the final files that have been reviewed and approved (as opposed also seeing all the source files as well).

Hi guys, in case you haven't noticed we now have Files View. Now you can see all documents in a Folder or Project in a list or grid view. This fully covers the original request here, but as always I look forward to your feedback ๐Ÿ‘

It would be really helpful to be able to tag / group files to then be able to sort & filter them. Some of our projects require many supporting documents (with the 80/20 rule), normally we only need a few of these documents repeatedly and the rest periodically. Without renaming all the files there is no real way to group and filter by group effectively.

This could also solve the folder issue that some are looking for, if the tags could be created & named by the user then files applied to these tags then sorted & filtered.

 

To start with, if we could just "Star" a file and it override the filtering to be at the top of the file list it would be a great help.

@stephen it would also be useful if one could upload a file to the file directory.  I currently have to create a task to manage files that do not clearly link in with a particular task.  File management is a basic requirement and all the above comments are valid and would be of great benefit to us as users.

Would still like the ability to organize files into folders. On a trial version right now and could easily be the determining factor.

Hi Lisa,

I've been an on and off user of Wrike for some years during different projects and professional endeavours, and one of the main reasons each time I've had to look away from Wrike for a solution, has greatelly had to do with this. 

In my personal experience, managing a project is much more than keeping track of it's tasks, and communicating with the team members, it also has to do with managing a great deal of information, that most of the times reside in files. 

So far the solutions that I've been able to find in Wrike to manage and associate files to a particular task or project are quite rudemantary and limited, as it requires a lot of work to place copies of the same file to different related folders/projects/tasks/subtasks. 

To me, the idea/request of this thread is not yet thoroughly solved, not even with the widget and Files View, as the tagging or associaton to different tasks is not yet possible (or is it?, and -hopefully- I'm missing something?).

Please, please! do not yet consider this IMPORTANT matter as solved and the thorough solution as "Launched". Please, not yet.

The status of this thread is "Launched", as Files View and the file dashboard widget satisfy all of the requirements of the original request. I would recommend making another Product Feedback thread about a server-wide cross-project file management system. That way, all of your feedback can be collected in one place, and once it reaches 60 upvotes, our Product team will be able to give you the status on that suggestion.

We are about to implement a new structure for our general file management - it's a shame we'll have to commence without the tool to integrate with Wrike and definitely lessens the likelihood of upgrading to a paid Wrike account. Please add +1 from our team, too
