Folllowing List for Post: Report when tasks moved through workflows
[this list is visible for admins and agents only]
We use Wrike to track a lot of the content we create for clients and would like to be able to report on what date each task moved through the workflow for editing, reviewing etc. Our ultimate goal is to identify backlogs even after a task is complete. For example, if a blog is marked as published I'd like to be able to see when it moved from drafted to reviewed and from reviewed to editing so we can figure out where delays may have been. Is there a report that does this or would I need to go into each individual task to see how this progressed? (this would be less then ideal as its a high volume)
Hi Suzanne! The status change update is logged in a task's activity stream and is an attribute which doesn't appear in Reports. I do have an idea for this use case though: you can create a date-type Custom Fields called "Edited On", "Reviewed On" etc. When someone completes a part of the process they can fill in the corresponding Custom Field. These fields are included in Reports, so you will have a unified place to quickly identify when a task entered a new stage. Would this work in your case?
We're interested in capturing the same kind of data -- it is really fundamental to process improvement and the last thing we expect our system users to do in an automated system is to manually input the data...
No other work around other than enter it manually or fish through each task when we want the data on our processes?
Thanks,
Paul
Paul, thank you for commenting here and sharing your thoughts about this! This isn't part of the current functionality, and since this post was originally created we've launched a Product Feedback section for such requests. I'm going to go ahead and move this post over there so other users could vote for this functionality too, and it would be great if you could click the "+" under Suzanne's post to weigh in on this request as well. I also wanted to mention another request which you may be interested in voting for: Timetracking Report. Thank you for taking the time to share your ideas here!
It's important to report on and retrieve by task status change. Sometimes we need to find a task based on a specific workflow stage; sometimes we need to see if some tasks are constantly moving back from revision, for example.
For certain processes that we would want to manage and track using Wrike, it is critically important to have an audit trail which would include the data and even the time when something changed (including Status). The Stream is nice, but a full fledged reporting facility would be much better.
If we could even show "Days in Current Status" that would be a huge step toward meeting this request. This would be just one small counter to add to each task, but it would enable us to quickly find the stagnant tasks. For a more detailed report, we could leverage the APIs to query task status and "Days in Current Status" daily, and build a progressively expanding list of tasks and the relevant status info. A simple pivot table filtering on max days would show us a breakdown of how long each task is spending in each status.
Hi all, we have an experimental feature in Wrike Labs around that may interest you here. It's called Workflow Reports. Please give it ago and feel free to provide your feedback by clicking 'Send Feedback' under the feature on the Labs page 🙌
Thanks Stephen, I love the report. Is there any plan to create a public API for this information? We are looking to integrate into one of our PowerBI dashboards.
We pass tasks along where individuals are responsible to handle a status, and they show they've finished their work by moving it to the next status, where the next individual is now responsible to handle their part and pass it along. We move tasks along at a high volume so using the stream view isn't practical.
Having a report that tracks status changes (and which statuses were changed) by user per a given time period would be very helpful in viewing user productivity at a glance!
Any update on this? knowing actual time a task spends in a particular status is much more valuable if I can see it for individual tasks. Is there a way we can run a report to see how long each task has been in a particular status?
this just seems like basic functionality you would roll out if you are giving people the option to create custom workflows, but they can't track how things move through the workflows with a measurement of time? Or is there a way to get this information and I am just unaware?
Thanks for your help with this.
@Tattiana, currently there's a Workflow Report functionality that helps
Please let me know if that helped 🙌

Thank you for reaching out @Lisa Bogdanova.
However I am looking for information on specific tasks. Average information in one consolidated graphic does not allow for visibility as to what specific tasks need attention. This graph may be useful for someone who needs a general recap but I need something more for strategizing and being proactive as an administrator.
it would be helpful to see:
So, unless I ran the report incorrectly or didnt see all of it then I dont think the report you mentioned provides all of this. If so, please show me how to run it properly.
Thanks
I have a developer asking me for this very same thing today. Stream might be an option to get him what he's looking for, however, there are very few filter options and none of them help me. If this feature to either drill down in the Workflow Reports to task history, or better and more filters in Stream View, were implemented, you'd make a lot of Project Mgrs very happy. 😀
Thanks!
Hey guys, thanks for commenting here. The Workflow Reports show the overall data on a particular Workflow so you're right, the information on one particular task is not provided. I wonder whether the Analytics View can be more helpful here. It still shows the overall data, but it's narrowed down to a project or folder where tasks reside.

Hi Lisa,
Thanks for the suggestion, we have been utilizing the analytics view on our team dashboard for overview purposes.
Do you know of anything in the works on current roadmap to address this?
Thanks
@Tattiana Hey, sorry for the long reply.
Currently, there's no update on the more in-depth statistics. I'll get back to you here if that ever changes.
Thanks for posting 🙌
