[Status: Launched! ๐] Proofing: Guest User/Proofer Option outside Wrike Ecosystem
Would be great if there was a way to share proofs/Reviews to those outside of Wrike. Currently, we find that any reviewers have to be inside the Wrike EcoSystem. Would be great if we were given extra flexibility to "Share The Proof" to those outside the ecosystem.
Agree, would be great to have access to some Wrike features (especiallyย the proofing and approvals) without the need for a Wrike account. Could imagine that for example only the email addressย is needed and they would only have access to tasks or information, someone with a Wrike account shares.
Currently, it is, for example, possible to share timeline view, but I would also like to see sharing and external subscription forย reports.
I agree, this is needed. I'd like to be able to add a client email to an item to proof/approve/reject without them being required create an account. This should be a very simple system so clients immediately know how to use it.
Agreed.
100% agreed on this. This is essential for us to use the Proofing tools and would be a massive benefit for other task sharing.
Most of the people that will need to sign off on any proofs that we have will never need to use any of the other tools within Wrike and are often senior people in the organisation. I am very reluctant to send them approval invites when it means board members will have to sign up to a Wrike account before they can approve anything, especially as they will likely not know what Wrike is and will never use it for their own purposes. This is compounded by the fact that they will get welcome emails they don't want and be dumped in to the Wrike landing page rather than going directly to the approval after they have registered.
I reallyย need to be able to share a link to the approval and have them immediately jump in to the approval page and be able to start commenting directly. Without this we are going to have to look for another proofing and approval tool.
I've just seen that the reports can be shared with external users without them having to be in the Wrike ecosystem. This is exactly the functionality we need for Reviews and approvals, just with the addition of being able to comment.
@Angus I understand that this is something that your team needs. Thank you for taking the time to write a comment here, we're passing the feedback on to our Product Team.ย
I agree with what Angus said above. We have clients who don't need to see the full task and Wrike interface. We just need them to approve or comment on a document, image or video. Ideally you want the client to receive an email with a link directly to the proofing page.
However, unless there is another method I don't know about, this is what happens.
We sign up the client as a collaborator on Wrike.
Within a task we have a document that needs to be approved by the client. So we click the "Add to Review" button and link the client to it.
The client then receives a strange email that looks something like this
It's not exactly clear what the client is being asked to do. There's mention of some documents and other comments from users. There is a blue button. So the client maybe presumes they need to click that.
They are then asked to log in to Wrike.
Once they've done that, they are then presented with the task, but it looks like this.
If you have never seen Wrike before, this is bewildering. We can see several icons spread over the page. There are tabs and things that look like emails. But there isn't anything particularly obvious to click on. As you look around you may spot that it says "review" or "reviewer" around the place. But what is supposed to be reviewed? It doesn't help that the interface designers have tried to be as subtle as possible when marking the distinction between the description section, the attached files section, the review section, the not for review section and the comment section. A thin light grey line with small light grey text on a white background. Nothing is clear or obvious. Just the addition of a big green button with the word "Review" on it would be a great help.
However, ideally a direct link to the proofing page for the file would be the ultimate answer. Even if you open the proofing page, copy the web address and paste it in a normal email to your client, it still only brings you back to the main task page.
Surely it can't be that difficult to have a direct link to the proofing page. I don't even mind if the client needs to log in. I just don't need them to see the rest of Wrike.
Sorry for my rant. I've been evaluating Wrike over the past couple of days and it's very close to what we need. Which makes this little wrinkle all the more annoying. Maybe there is some technique that I haven't yet spotted. If so, I will apologise.
Thanks for reading. ๐
Paul, thanks forย taking the time to writeย a thorough response to this. I'm very hopeful this feature will be released soon but I haven't heard anything. This is the one missing feature that, if added, would make Wrike absolutely perfect for us. We're using it now, but this feature would make things so much easier.
I agree with everything said above. Wrike is an amazing tool for our creative team.... PLEASE make it an amazing communication and approval tool for stakeholders. I want to share proofs with non-users - no login required in a clear and concise way. Please please add this! :)
ย
Absolutely 100% agree! We just had some clients freak out because it took them 24 hours of trying to figure out Wrike Video Proofing and organization in order to proof our video files, and they simply abandoned it and said to use another leading video proofing service which we had to do.ย
It's critical, that we can share our proofing and approvals in a separate easy to use shareable external system, with expiring password protected access.
Just echoing the sentiments above. Would really love this feature.
Our team would kill for this feature. Please consider implementing something like this!
Agreed!ย
Agreed. I can't believe this is still not a function. We are having to use another third party proofing tool- Proof HQ to complete our Proofing and Approval process so external/vendor can approve assets.
Agree also with all of the above comments!! Hopefully we have something in place soon. We have only just started using Wrike and are loving it!

I was looking for a solution to this problem and came across Guest Review in Wrike Labs. This allows Wrike users to invite clients, who donโt have a Wrike account, to review files attached to Tasks, Folders, and Projects. They can comment on files, give their decision, and even receive replies to their comments from Wrike, via email.

Hi guys, that's right, there's a solution for this now. Thanks to everyone for voting and the OP for suggestings this feature. The information posted here was paramount to the PM team's development and you're welcome to provide more feedback at the above link ๐
Hi Stephen - is there any plans to offer guest reviewers by sharing a link? We often have files that we need approval for but they go to companies that have multiple people looking at them, many of which we do not have their emails. It would be great to share a link and have them share along with their team as they need to.ย
Just a small integration: could you give people the choice of adding multiple guest reviewers with just one request?
We are a multimedia company and we often need the approval of certain contents by multiple figures (art directors, producers, directors, etc.) within the same guest company. Sometimes it would be more professional sending a guest review request to all these people in just one go.
Could you make this work? Thanks
