[Status: Launched ๐] Reports Permissions for more users
CompletedI recently set up a number of reports in Wrike that I then shared with my managerย who is also an administrator on our Wrike account. She wants to be able to export those reports as needed for meetings and sharing with others in our organization. Unfortunately, only the person who created the report can export it.ย
Our work-around for this is either that she has to ping me to export a report anytime she needs one OR she has to set up a duplicate report under her account. This is repeated and unnecessary work. It would be great if administrators had full rights to reports that are shared with them or that we can have some selective rights for users in the reports area.ย
Hi everyone, good news to share! Our Product team has released a long-awaited feature: now you can export a Report that was shared with you! No more need to ping the Report's author to spread the word and analyze the data. Thank you all for the feedback, it was an important part of the process!
Hi Kelly, thank you for sharing this idea on the Community! I understand that the ability to easily export Reports is important to you and your team, and it isn't available currently for security reasons - to prevent sharing of data without the consent of the Report creator. The suggestion to be able to adjust these rights is great, and I'll direct other users who support this request to your post.
Something similar to sharing Google Docs would be helpful. When you share a report with someone, select which permissions they have - to edit, to export, to share, etc.
Megan, that's an interesting thought, thanks for sharing! I can see how that could make this process more flexible and suitable for different use cases.
+1 from our team.
I agree with Megan! ย I don't care who I've shared the report with actually runs the report (I actually see that as the POINT of the platform - self-sufficiency with the shared information). ย Export it once or 50 x's a day - they can't change the data feeding the report without my permission so the integrity remains intact. That allows the user to get the most current information available for them to complete their job. ย Otherwise they're using a snapshot I created at some time without the assurance that it's updated information - and when purchasing materials for a construction project that up to date schedule information is imperitive. ย
+1 for Megan's idea
+1 from me!ย
ย
I need our teams to be able to export their reports and use them offline and online.
An option to toggle between, view, edit etc per user would be perfect. :)
+1 as long as you are able to export the view I'll be happy. I'm stuck doing this for my team...
+1 This is creating a real headache for me. I created a series of reports for my manager and then shared them. But my manager can't export these to Excel to analyse them and forward them on to the rest of the management team (who aren't on Wrike).
I've had to get my manager to log on to Wrike on my computer so I can recreate the reports so she can export them. Tedious, much!
This 'bug' severely limits the usefulness of shared reports at the moment. As Megan has suggested, give us control over how we share stuff.
This is soooo necessary! It basically makes reports unusable.ย
ย
We need the ability to export reports if we are not the owner of the report. We cannot rely on one person to export and share with the team, its unproductive, in-efficient and tedious.ย
Hi,
The stated security requirementย is not protected by preventing the shared users fromย exporting the data. I was able to copy the data directly from the HTML page and paste it into Excel and retain the general semblance of the report. See Below. ย The only thing it accomplishes is creating a huge inconvenience for other users who have been shared the report/dataย to get it in a clean format.
Please add the Export AND the Filter feature back to the reports.
Hi Dan, thank you for writing in! What you've shared is a more advanced way to pull data, which isn't a Wrike feature and isn't generally what most of the user base works with. In the same way, it's possible to make screenshots of pages, or simply rewrite data in another location, but this isn't something we facilitate, as in the case with exporting Reports. I do appreciate your feedback and the time you took to post this, and I've sent your message along to our Product Teams to take a look at.
+ 1 Agreed.ย Our source data remains in tact and this limitation only makes us have to create and keep duplicate reports in synch between users.ย I should have the ability to share with a user as view only or edit (including export) rights.ย
Just wanting to know from the Wrike team if there's any movement on this? It's really limiting the functionality of reports in my team.
Will the restriction on the export to Excel of shared reports be lifted, or is this a permanently gimped feature.
Hi, my teams needs to print our reports and the limit for this feature in Wrike means we can not work with reports in an efficient way. You should be able to have a function where you can choose which user you give entitlement to edit or just view. Please Wrike, fix it!
Any update to this feature?

Hi all, this continues to be discussed internally by our Product Team. I don't have any concrete details to share right now. If and when I do, I'll be straight on here to give you an update ๐
Thanks for continuing to comment and upvote the suggestion!
Same problem as the others. It's necessary to make more flexible the management of reports with the team.
Another plea for this. We're creating reports in duplicate between team members - it's a flat-out waste of time, and leads to the possibility of introducing discrepancies in how the reports are configured. This is the kind of issue that may cause us to look to other project management solutions in the future.ย
Another vote for more functionality/permissions!
Yes! We absolutely need this for our team! Our dear teammate who set up the reports as a service to all of us is now basically being punished by her good deed by not being able to share report responsibilities.ย I love the idea of multipleย user options like admin, editor, viewer.ย
Having report permissions is also a necessity for our team as well. It is not uncommon for the person who is delegating the creation of the report, and the person who needs to manipulate or export the data to be two different people on our team.ย A good solution that has been suggested many times in the post would be able to set different user options - view, edit, export data, etc.ย
I agree with everyone.ย Those that create reports need the ability to customize permissions so other on our teamsย can edit and/or export the reports.ย I am the manager for our department's Wrike account and I am transitioning to a new job.ย I have reports that are regularly used that I created and would like to simply transfer ownership of the reports to another user in my team.ย A basic principle of working efficiency in any organization is to not have a single person be the only keeper of data or work processes.ย It creates unnecessary bottlenecks in workflows.ย It is the responsibility of the organization to determine who is the primary person for work processes but access and knowledge should be duplicated to at least one other person.ย The current set up Wrike has on reports limits the ability to customize effective workflow management.
Expand the ability to export / download reports to other than just the owner.ย ย
First of all thank you for all your hard work and consistent responses to our requests.
Secondly we Greatly need this functionality improved!ย I understand the need for security butย we really need more options when it comes to sharing our data.ย There should be a way to choose if another user can print a report, at the very least (though preferably exportable as well).ย Having the sharing options this limited goes against the whole logic of using this type of software and adds an extremely large unnecessary workload to nearly all Wrike users in our company.
Some band-aide options could include:
This is the highest priority from our company at the moment so I look forward to hearing about advancement is this extreme limitation.ย
Thank you!!
Another band-aide could be the ability of the user that the report was shared with could be given the ability to automatically duplicate the report.ย ย
*I did realize that there could be issues with filters that are created in the original report being set to "private" and therefore cannot be duplicated.ย If that is a main reason this isn't getting immediate clearance then this could be treated the same way that tasks that areย also private are treated: the user is simply given an error clarifying they don't have permission to view it.ย I still feel this shouldn't be an issue for at least printing a report, but it is a band-aide if that is a primary security issue.
Hi Deidra, thanks for this detail and I appreciate the need for changes with permissions, especially around reports and exports. I really like the request to create or export.
As above, I have no new information at the moment from our Product Team, however, thank you for voting, posting and bumping this post. I'll be sure to bring it to the attention of our Product Team and update you here with any new information ๐
This is a pretty damn important feature - +100 (even though I plus one'd this 9 months ago).ย
