[Status: Investigating ๐Ÿ•ต๏ธโ€โ™€๏ธ] Assign User Groups

I was very disappointed to see that you cannot assign a User Group to a task. I understand Wrike's idea that each task should have a single assignee (What we used to call an ONTG - one neck to grab) but it is also very common to have multiple people assigned to a task with one person responsible. We wanted to use User Groups this way so we did not have to go through the hassle of adding each individual you wanted to assign one at a time, which by the way Wrike allows and is exactly the same as allowing a User Group to be assigned, just much more time consuming. So if you can do it one by one it only makes sense to support doing it as a group

So I would like a feature enhancement to allow User Groups to be assigned to a task.

That would be very convenient to assign to the group! That would help us to save time and make the process more universal and convenient, that  would be possible to shorten the task assignment time and avoid some errors of losing some users, that would be really great! I kindly ask you to update Wrike and add this function!

@David I agree with you completely. I would also extend that to SubGroups. We use groups to keep offices together for our enterprise account. Each office has a group. Some of those groups have now been given subgroups as they want to organize their teams by department. I would love for the offices to be able to assign their group or subgroup to a task instead of having to add 2-3 individuals to each task. It would be a huge time saver. 

There are situations where they have a team where one employee works Monday through Thursday and the other employee works Friday through Sunday. They share the same work load and need to be able to both mark things off complete, know where the other person left off when they come into work, but also have the individual accounts so that they can show what each of them accomplish individually (so a shared log in would be discouraged). Having groups and sub groups able to be assigned to tasks would be very helpful.

It would be great if I could add a group to a task especially because we use subtasks in order to collaborate with our suppliers and we have to assign all members of their team. Then one of them, say that he takes the job so we can remove other people from the task itself and leave the one who will do the job.

 

If we could select the group and automatically add all the people within the group as assignees could save us some precious time :)

Hi all, just a quick update on this request. 
 
The examples shared here make it clear that, in some cases, assigning groups is a quicker process and also useful when it's not yet decided who in the group will be responsible for the work involved. Currently, there are no immediate plans on the roadmap to introduce groups as assignees. The team understands the logic outlined here and are very interested in your feedback as it helps them understand how enhancements in this area might be developed in the future. 
 
The Product Team is currently looking at adding the ability to assign tasks by role so when it's unknown which individual(s) should be assigned to action the task. I'll be sure to keep you updated when I have more information about this too.

We are having the same problems.

If we could send a wrike task/alert to entire user groups it would be very helpful.

I really hope this is in the works!

One more vote for this feature. People come and go, so I'd really prefer just to setup dozens of tasks/forms based on usergroups instead of individuals and not having to go through them every month.

As I understand from previous comments, task assigning to usergroups requires some logic/structure changes, but why can't it be done in another way: whenever a user/bot assigns a task to "SomeUsergroup", assignees list is automatically populated by all current members of this usergroup. So it would be just a shortcut for manually adding multiple assignees. This way tasks would end up being assigned to John, Joe, Mark and Thomas instead of "SomeUsergroup". It doesn't sound like a solution requiring significant overhaul of tasks system?

I would love to be able to add a group to a reviewing/proofing task. I need approval from each person but add the names all at once with a group.

This is a project I do each week so the addition would be much appreciated.

I think assigning by role could get messy, as it would require more admin action to make sure people are in the correct role.  For example, some people are in multiple roles.  Plus, it would be a more significant change for wrike to implement, as it involves all new logic loops.

Instead, I think increasing or eliminating the limit on user groups would be a better approach.  That way, the admin can simply make some groups based on teams, and some groups based on roles.  

Then, add the ability to quickly assign to INDIVIDUALS based on group.  Feel free to vote on my post here.  This compromise wouldn't make everybody happy (those who want to assign to the group itself) but it would make many people happy.  And it doesnt require a major rethinking of how wrike is built.

+1 I can comment to a group, e.g. @development-team, but I cant' assign them! ๐Ÿ˜ฉMeans I have to remember who is on a team EVERY TIME and assign manually.

Adding upvote. We are using Wrike for discussions, and it's definitely cumbersome to have to manually add each individual from a group to each discussion topic.

@Neil - No.  We're talking about ASSIGNING tasks to multiple people in 1-click, not just SHARING it with them... very different things.

Sharing = they can see it

Assigning = they are responsible to do it

@Stephen - I don't understand your question.  AFAIK there is only 1 way to assign multiple people to a task, regardless of what view you are working in:

  1. click to add a person
  2. ....type to search
  3. ........click their name
  4. click again to add another
  5. ....type to search
  6. ........click their name

A use case for this new feature:

I know the task needs to be done by a certain team, which includes 5 people.  But that team manages itself, and decides which individual(s) will actually do the work.

Currently, I can do this by 'earmarking' the task in some way... maybe (a) including it in a specific folder, (b) giving the task a custom status, (c) assigning it to the team's leader, or maybe (c) changing a custom field.  Then, someone must manage these, probably using a dashboard, and assign it to the appropriate team members.  A metaphor would be, you first give the deck of cards to the dealer, who then deals them out.

Instead, I'd like to just assign the task to the team (a user group).  When I select the team, it automatically assigns it to all the individuals of that team.  That way, all individuals considered responsible for it and notified.  Then, the team can sort it out, and people will unassign themselves.

 

Some other opinions are

(A) I personally don't have a huge use for this feature.  However, it's a break in the intuitive UI.  It just SEEMS like you ought to be able to assign to a user group.  

(B) This is siginificanltly less important than other topics.  There are other major  improvements I care more about.  Of the top 'o me head:

  1. Reports > ability to visually graph the actual values of custom fields versus representing the tasks
  2. Reports > allow them to be added to dashboards
  3. Reports > allow time entries to be viewed with custom fields
  4. Projects > allow custom statuses
  5. Combine list/table views into 1 entity

Thank you @Sam! That describes exactly what we are trying to do as well. 

 

In terms of workarounds we are currently using (to @Stephen's point), we are @mentioning the group in the comment of the task, and asking one of the group members to pick up the assignment. It's not perfect, one of the biggest downsides is that this doesn't help when copying templates.

We're hopeful that there is enough traffic on this topic to build a better solution!

This is loosely related, but might be useful for anyone following this thread. One of my team today discovered that you can @mention 

'@followers' in Comments.

This will send a notification message to everyone following the task. The includes everyone assigned, commenting and watching for updates. I've started using this to @mention people to just 'assign' themselves to tasks rather than me have to do it manually. (e.g. company-wide reminders and IT updates)

@Sam - thanks for the detail here, this really helps the team.

I've always been surprised with some workaround people post here so wanted to hear what people are doing right now. For me, I do the same as Noel and Mikaela. I @mention a Group in the comments instructing them to assign themselves to the task if needed. It's not ideal but works for now.

Those people are then following the task and you can use the @following command in the comments going forward to ensure everyone is notified of an update in the comments.

I was curious if anyone was using any other approaches that we could discuss in the meantime. Please feel free to share. It helps our Product Team understand how you're using assigning in general and how best to review this functionality. And of course, your approach could help someone else here ๐Ÿคœ๐Ÿค›

Well.. since you asked...

I don't as much need to see the group name and icon in the assignees, just a way to mass assign them without having to remember and type out everyone in the group. Plus, if tasks are old (like an ongoing annual task) - I wouldn't expect the task to get updated with the new group members automatically. I'd be just fine with the task asking me if I wanted to assign to 'all' in the add menu, perhaps be able to uncheck a few, and then the assignments continue work the same as normal tasks. Just this simple change in selecting users would save an enormous amount of time. 

Just a way to multi-select users in the assign menu would help.

Firstly, the words don't make sense ("should be assigned to action the task" - huh?) - is there a typo in there?

Secondly, what do Roles have to do with assignments to tasks? Aren't they for configuring access to Wrike? We have a 'business' account I believe... so maybe I'm missing something in a higher-tier account type that Roles could do for us, beyond User Admin.

If this is still being considered, can you please explain further what is envisioned?

At a minimum, there needs to be a method in which you can assign multiple people to a task (or multiple tasks) quickly through Mass Edit.  There are instances where people from different groups need assigned to a single task to accomplish the objective.
