Managing Daily Capacity in Work Schedules
|
Availability: Business, Pinnacle, Apex. ; Unavailability: Free, Team; |
Account owners and admins can change the daily capacity in account work schedules. On Pinnacle and above accounts, this right can be revoked from admins.
Daily capacity is a setting in Work schedules that lets you adjust the default 8‑hour workday for users. If a user’s capacity changes over time, you can also add a Capacity change to update their daily capacity for specific periods.
Daily capacity impacts how Wrike calculates users’ capacity and availability across the workspace, including on Workload charts and in the Resources view.
Tip
If you have a lot of calendar exceptions, like public holidays or company-wide non-working days, you can duplicate an existing work schedule and just change the daily capacity.
You can create as many custom work schedules with different daily capacity hours as you need.
-
Click your profile image in the upper-right corner of the workspace and select Settings
-
Select Work Schedules in the panel on the left
-
Start by creating a new custom work schedule or selecting one of the existing ones from the list
-
Click the Edit daily capacity button under Daily capacity
-
Enter the desired number of hours per day in the field. You can input values greater than 0 and up to 24, including whole numbers or decimals, such as 4h, 0.5h, or 23.2h.
-
Click Apply changes
Once you set the necessary daily capacity on a newly created work schedule, you can assign it to all relevant users.
Note
If you change the daily capacity in the Default schedule, it will affect full-time equivalents (FTE) calculations in the Resources view.
If you change the daily capacity on an existing work schedule, all users assigned to that schedule will automatically have the updated daily capacity reflected in several areas:
-
Workload charts and Resources view: The new capacity will be used to calculate the team’s capacity and availability.
-
Team Metrics in Dashboards: This includes capacity, over-allocated effort metrics and more.
-
Analyze Reports: The daily capacity is factored into various report calculations.
-
Assignee Picker: The unavailable label will consider this capacity when calculating unavailability.
-
Flexible Effort: Hours can be entered as a percentage of daily capacity in the date picker.
-
Timesheet Submission Rules: The daily capacity impacts how timesheets are submitted and reviewed.
Account admins can configure Capacity changes for team members at either the schedule level (affecting all users on that schedule) or for individual users.
