TL;DR:

Attach a new or existing Whiteboard to any Wrike task, project, or folder using Add files → Whiteboard or Add Whiteboard. Pasting a Whiteboard link in a description or comment also attaches it automatically and creates an interactive preview. Teams can then brainstorm and edit the board directly within the item. Whiteboard attachments don’t support approvals.

Attach Whiteboards to Work Items Overview

You can attach Wrike Whiteboards to tasks, projects, and folders in Wrike. This helps your team brainstorm, organize ideas, and collaborate in one place.

How to Attach a Whiteboard to a Wrike Item

  1. Open the task, project, or folder where you want to attach a Whiteboard.
  2. Click Add files 1 and select Whiteboard 2 from the drop-down.

    OR

    Click the Add Whiteboard button 3 on the toolbar.

  3. In the window that opens, either:
    1. You can Create whiteboard 4, or
    2. Choose an existing Whiteboard from the list 5, or search for it by name 6.
  4. To create a new whiteboard, enter a title 6, then click Create whiteboard 4.
  5. If you don't enter a title, your whiteboard will be named New whiteboard by default.

Automatic Whiteboard Attachments

Keep your visual collaboration connected to your work without cluttering your workflow. Whenever you add or save a valid whiteboard link within a work item’s description or comments, the whiteboard will automatically attach itself to that work item.

Note

Automatic attachment requires that the user adding or saving the link has access permissions to the linked whiteboard.

Smart Link Previews

Raw whiteboard URLs automatically transform into clean, interactive link previews in both task descriptions and comments, replacing raw web addresses with a neat, clickable summary showing the whiteboard's name. If a link includes a focuson parameter, opening the preview will automatically zoom in on the exact section of the board referenced.

  • Proactive Formatting: Newly added or saved whiteboard links instantly display as named previews.
  • Retroactive Formatting: Raw links in existing tasks automatically update to link previews as soon as you open the work item.

Smart Link Preview States

Smart Link Previews dynamically reflect the current state and accessibility of the linked whiteboard:

State Description What You See
Loading Displayed briefly while the system retrieves whiteboard details. A subtle pulse or shimmer placeholder.
Default Rendered when the whiteboard is successfully loaded and accessible. The official Whiteboard icon alongside its title.

Collaborate on the Whiteboard in Wrike

Once attached, you and your team can open and work on the Whiteboard directly from the Wrike item.

  • Click the Whiteboard attachment to open it.
  • Use visual collaboration tools to add stickies, shapes, and other content.
  • Switch between the Whiteboard and the item details in the same view to keep work and context together.

Tip

Keep the task description and comments in Wrike for decisions and action items, and use the Whiteboard for ideas, diagrams, and brainstorming.

Note

Whiteboard attachments do not support approvals.
