Automation conditions are the "IF" statements in automation rules that must be met for the trigger to activate the rule. They ensure that actions are only executed when certain criteria are met, allowing for more precise and targeted automation. Adding conditions is optional, and you can add as many additional conditions as needed.
There can be different conditions selected for the automation rule to run. Their combinations can follow different filtering logic. The default filtering logic is AND logic (“Match all”), so every added condition must be true for the rule to trigger. For example, if the rule includes Status: All active and Importance: High filters, the rule will only activate when both conditions are met in an item.
If a condition filter allows selecting multiple checkboxes (e.g. several Status options) — OR logic will be followed. This means the rule will trigger if any of the selected values is present (e.g. Status is either All active or All completed). However, different filters (e.g. Status, Assignee, Importance) are still combined with AND logic, so the item must meet at least one selection from each checkbox group, and all other specified conditions.
Enhance your automation rules by incorporating "And if" conditions for the following items:
Status
Specify the status an item must have for the rule to trigger. This can help ensure that actions are only taken when items are in the desired state.
Note
Status condition is not compatible with "When status changes to" trigger.
Owner/Assignee
Define conditions based on the assigned user or owners. This is useful for targeting rules to specific team members or roles.
Tasks to do
Focus on tasks that are yet to be completed, ensuring that automation only affects active work items.
Approvals
Set conditions related to the approval process, such as whether an item is awaiting approval or has been approved/rejected.
Task type
Differentiate actions based on the type of task, allowing for more customized workflows.
Importance
Use this condition to prioritize actions based on the importance level of tasks.
Effort
Trigger rules based on the estimated effort required for a task, helping manage workload and resources effectively.
Created date
Apply conditions related to when an item was created, useful for time-sensitive workflows.
Start date
Focus on items with specific start dates, aiding in scheduling and planning automation.
Due date
Set conditions for items with particular due dates, ensuring timely execution of tasks.
Completed date
Use this condition to manage items based on when they were completed, which can help with reporting and analysis.
Last modified date
Target items that have been recently updated, ensuring automation is applied to the most current information.
Finish date
Specify conditions related to the finish date of projects.
Author
Specify conditions based on the item's creator, which can be useful for managing tasks originating from specific sources.
Billing type
Differentiate automation based on billing types, such as billable or non-billable tasks, to streamline financial processes.
Custom field
You can also add a condition based on a custom field value to customize your automation rule further.
