Overview

Any item can have subitems, helping you break down your work into smaller, actionable tasks or plan bigger projects with key milestones and deliverables.

Subitems work with any item type, whether you're in a task-based or project-based view, including folders. This makes it simpler to organize and manage your work.

Note

There’s no limit to the hierarchy levels, allowing you to create as many subitems as needed.

When to use subitems

Use subitems to:

  • Assign them to each team member (or team members) so they can mark their subitem complete without changing the statuses of their teammate’s tasks, projects or folders.

In some cases, Wrike will ask if you'd like to align the dates of a parent item and its subitems. This is an optional setting. You can always schedule a subitem separately from its parent item’s dates, and vice versa.

Tip

When you mark the parent task’s status as completed, a popup appears. If you click YES on this message, then all the subtasks will also be marked as completed.

Where to view subitems

In Item view

In item view, if a task, project or folder doesn't have any subitems then you'll see the option to create a subitem below the Status option 1.

If a task has subitems, you'll see a field below the Status option that indicates the number of subitems 2 included. These subitems are displayed in a table view format, similar to a list of nested items found in all project or task-based items. You can create, sort, and edit attributes such as statuses, assignees, and start and due dates for subitems in both project-based and task-based items.

Note

These changes are applied separately to tasks/task-based types and projects, folders, and project-based types. This means you can have one density, sorting, and configuration for tasks and a different setup for projects.

  • To expand or collapse the subitems, click the “>” caret icon 3 to the left of the item type icon.

  • You can reorder and resize columns according to your preference by clicking the three-dot menu button 4 next to the field name column and moving them left or right.

  • You can adjust the display density to view all the subitems effectively by clicking the three-dot menu button 5 above the table.

  • You can choose which columns to display in tasks and projects by clicking the three-dot menu button 5. Then, select the columns 6 you want to hide or unhide in the table.

  • To rearrange the subitems within the project/task-based items, drag and drop them to the desired position.

Note

  • Projects, folders, and project-based items will appear first in the list. Even when sorting is applied, task-based items will be displayed below them.

  • In the item view, you can expand up to 6 nested levels. The subitem counter only shows the number of direct subitems, not all nested items beyond this depth.

In Table view

You'll see an arrow ">" to the left of a task title (if it has subitems). Click the arrow to expand or collapse the subtask list and see the names of all of the task’s subitems. If subitems have their own set of subitems you'll see these same icons appear next to the parent subitem.

In Gantt Chart

In Gantt chart, expanding the arrow “>” located to the left of the parent task’s title expands to show the available subitems; a list of subitems opens up simultaneously in the timeline portion too.

In Board view

Subitems are shown as an icon under the parent task's name.

Reorder subitems

  1. Open the parent task, project or folder where the subitems live.

  2. Drag and drop subitems into the order you prefer.

Additionally, you can drag and drop subitems into any task, project, or folder within its item view.
