Automatic Update to Project Status when Task Status is Changed

It would be great if when the person assigned to the first task in a projects moves it from "In Queue" to "Production" that it also updates the project status to the "Production" status. Right now they are having to update the project status in both places and sometimes forget so then the project doesn't look like it's in production when in reality it is.

This is a great feature and would be very useful. One of the best implementations I've seen of this is in Clubhouse.io:  when you a task in an Epic to "started," there is a prompt giving you the choice whether to start the Epic, or not.  We had this problem in Jira when we used it - tasks would be started, but the Epics would perpetually need to be updated independently, and the team rarely kept this up.

Automation would be useful here so hopefully that is planned and would include this function.

Thanks!

This would be a HUGE game changer for project managers! We would love to implement using Project Statuses - now that custom ones are available - to give better visibility overall to project managers. But it's going to be difficult to implement if we need someone keeping tracking of which items are done and which affect the status of the overall project.

If we could designate some tasks as being the transition points in the overall project - so that when they're marked completed - the Project moves to the next step (or a specific step) in the Project Work Flow that would be AMAZING. And save SO much time.

I'm completely for this… as an agency we move items in our workflow from… active to waiting for feedback, it would be great if it would automatically do this when a task is marked completed. Say with automation… if this task is x, simply change all tasks status after the task is marked completed to x, OR more intricate change the next dependent task's status to x OR ideally, change the next dependent task status and all its subtasks to x. Any of these would be ideal.

We have the same problem as the initial reply… Sometimes something says 'waiting for feedback' and we received the feedback and the feedback task was marked off, but the custom active workflow status wasn't changed from 'waiting for feedback' to 'active'

We need this badly.  We have architects that are doing work and moving tasks but they don't update project status.  This is a huge problem for our team.  Any updates??

Hi everyone, thank you for your feedback here! I don't have any updates from the team yet, but maybe a reminder that the project's status hasn't changed in some specific amount of time could help you? This can be achieved with Wrike's Automation:

Since this thread hasn't seen an update in 2 years.

Accomplishing this via automation would be fine and Wrike is already so close

Just needs to be configured so that

Apply to projects in space
Trigger > Stubtask status changes from status
Action > Change status to status

Thank you for reaching out Aaron Sanchez! Our team has this suggestion in mind for our automation feature, but I don't have an update at the moment for if they will be working on it in the near future. I will pass your feedback on to them 👍

Adding my +1 to this - I have a workflow that is linear in its dependencies, but some higher ups only look at the project status.

If someone completes a subtask, they may not update the project status, which means it won't reflect the reality of where things are at.

I looked at the automation, but can't find anything that could do this - something that would change the project status to whatever status the current dependent subtask is on.

Has this been looked at further?

I would like to understand Wrike's position on this request as it has been open since 2019. This is a critical feature to optimize workflows for both day-to-day operations and reporting purposes. What is the process to get a feature update into the backlog?

Joseph Riccardi,

This has been added through modes of automation.

Apply rule to Projects in Space
When all or any subitem statuses change to your status
Then change item status to your status

It might not be 100% like you envisioned but I have been able to successfully implement this into my workflows.

Welcome to the community! 🙂

You can achieve this by using Automation as explained by Aaron Sanchez above.

To do this, please follow the steps below:

Go to your space settings -> Select Automation tab -> Click '+ Add rule' -> Click '+ custom rule' -> In Apply rule to section, Select 'Apply rule to Project' -> Select the trigger as 'When all direct subitems statuses change to' and select completed -> Select the action as 'Change item status to' and select the status as completed.

Attaching screenshot below for your reference:

Hope this helps! 🙂

Hello Rohan,

I re-read some of the earlier posts and it looks like they are not necessarily looking to have the project marked complete when all sub items or tasks are completed, but rather to have an automation that updates the status of the title when a task/subtask below is changed to reflect a key point(s) in a project as the the project progresses.  I was thinking this couldn't be done but if it can be or there are new updates, that would be great.  I'm also interested in the possibility of a subtask changing the status of the task AND the project title to reflect key information that can be viewed easily at the level needed without a lot of manual changes that staff often miss.  I'm thinking this probably still can't be done, but I thought I would check in case there is something in the planning process. I'm glad to start a new thread as well, since I know I'm asking an additional question.     Thanks, Kristy

I second this. I'm trying to set this up right now for a simple test project with only two tasks. If you have a project with many steps then you should have to have a separate completion step for each task which is insane and can lead to a lot of human error issues. If we can just say with THIS sub item has a status of STATUS then Project Status should be PROJECT STATUS.

I made a custom field as part of my testing so the same thing could be applied there. When any SubItem has the field FIELD NAME update to FIELD NAME STATUS then update the Project Status to PROJECT STATUS>

Hi Kristy Schaan 👋 Thank you so much for taking the time to clarify and explain things in detail, I really appreciate it! The original feature request mentioned in the post is now available and can be achieved through Automation. For your additional idea, please create a separate post in our Product Feedback Forum. This will ensure the Product Team sees it and allows other community members to upvote. Thanks!

Hi Tiffany Sands, Thank you for supporting this suggestion and providing a thorough explanation! Your comment will be forwarded to the relevant team for their consideration. If there are any updates in the future, I will be sure to let you know.
