Add assignees to a task with different roles
Hi,
I am the production director oF a creative department. Most of the times I want to assign a task to the designer that is going to implement something but I also want the creative director to give his approval before anything is delivered to the client. Is there a way to differentiate those roles in the same task? I mean if this was sent via email, I would use the TO for the designer and the CC for the creative director in order to specify that the designer needs to do the whole work and the creative director should only be aware and check the final project when ready.
Could you please help?
Hi Polina! Thanks for reaching out. One way to approach this could be to use a combination of the assignee field and the description field. The task would be assigned to the designer, but there would be a "Reviewers" section in the description field and you would use checkboxes to list the names of anyone who needs to give their approval. In this case, the creative director would check off their name once they've approved the project.
For example:
I also want to mention the Proofing and Approvals add-on. If your creative director needs to approve files, this might be a good option for you (but it is a paid add-on, so I understand that might not be what your team is looking for).
Hi Stephanie
Million thanks for your prompt reply. This may be a good solution, but Donald is not informed about this task, till someone mentions him to take action. Is there a way to add a link to the check box with the id of the user (eg creative director) in order for him to take notifications too?
I found that my id in Wrike is something like this <a class="author stream-user-id ua-744h4laDVfe7 ai-345217">Polina</a>
But this is not working as link to the check box.
According to the approvals add-on, could you please inform me about the cost.
Thank you in advance
Hi Polina, hope you don't mind if I quickly jump in for Stephanie here! The cost for Proofing and Approvals can be found on our Pricing page, and I've also reached out to your Account Manager, who will gladly guide you through the pricing details and breakdown :)
As for ensuring that Donald receives notifications, this can be done by adding him to the list of followers for this task (or Folder). As long as he has the corresponding email notifications are enabled, he will receive updates about the task. Here's how to add followers:
Happy to answer any other questions about this!
Thank you Anastasia for your help ;-)
Hi is there a way which I can allocate a type to a task to know for example if a task is a design type , a development type or an app development type? If there was a way I would colour code individual tasks then that would do the job.
Thank you.
Hi Marta, thank you for the question! There are actually a couple of ways to categorize tasks, and one of them even includes color coding :)
To view tasks from a certain category, like Design or Development, just open the corresponding Folder. Tasks can belong to multiple Folders and Projects at once, so you can view them from any of their locations. Let me know if you have any other questions!
Very good!
Is there a method to add someone as a follower via email creation of a task? I'm aware there are a number of attributes that can be set via email but have not found a way to add a follower.
Thanks
Hi Jeff, there's no way to specifically add someone as a follower via email integration but it's an interesting idea if you want to leave it as a suggestion in our Product Feedback section.
