Include subtasks in task export?

I would like to export a set of tasks to share with a contractor.  Some of these tasks contain subtasks.  I have not found a way to export the tasks and include the subtasks, as well.  Is there a way to do this?

Hi Aaron! Which view are you trying to export from? Subtasks are visible under their parents, but the way they are displayed may differ slightly depending on the location and type of export. Let me know which views you are interested in, I'll be happy to guide you through the steps :)

I guess it doesn't matter much what view I use, I just want a document (PDF?  Excel?) I can send a contractor that shows all of the due dates, parent tasks, sub tasks, etc.  What would you recommend?

Aaron, thanks for the additional info! There are several ways to achieve what you described, here are the sharing options I recommend:

  1. Timeline Snapshot - allows you to send a Gantt Chart style overview of a Project or Folder to contractors who are not members of your Wrike account. By default, subtasks are collapsed under their parent task. To expand them, click on the plus sign next to the name of the parent task. If you prefer a more static view, you can also print a Timeline by saving it to PNG format.
  2. Share a Report Snapshot (similar to a Timeline Snapshot) with those who are not members of your Wrike account. 

Some other options include exporting to Excel and sharing dynamic Reports with members of your account (you can invite an unlimited amount of contractors with Collaborator type licenses at no additional cost).

Hi, for some reason I do not see the + sign anywhere to expand parent tasks in the timeline view.  How do I access this to expand the parent tasks?

Hi Aaron! Do these subtasks have due dates? Only scheduled tasks and subtasks are shown on the Timeline. Also, the default filtering criteria for the Timeline View is set to show "All Active", so if the subtasks are scheduled but have a different status group, they could be hidden. The subtasks do not have due dates - that must be why the parent tasks don't expand.  Thank you.

One thing that would be helpful to share with collaborators is the custom fields - looks like those don't show up for collaborators in table view.  For some reason they show up in the standard task view (list view) but not in table view.

Do these tasks reside in multiple Folders or Projects? When a task lives in multiple locations, you will see fields from all Folders when you open the task itself, but when you open the Table View, you will see only fields which are enabled for the current Folder. It sounds like the Collaborators are looking at the Table View from a Folder or Project where the Custom Field wasn't added. To make them visible, open the Table View, click "Add Column", start typing its name and then choose the existing field from the dropdown :)

The tasks are only in a single project, and the custom field was added to the parent level folder.  The fields show up in table view on my end, but not on my collaborator's end.  Should they be showing up on the collaborator's end?

Thank you for clarifying, Aaron! If the Collaborators cannot see the Custom Fields at all, this means that they are not shared. In this case, there are a couple of settings to check:

  1. If the Custom Field was added to a parent Folder which is not shared with the Collaborators, they will not be able to see the field. To make fields visible, you can add them to individual Subfolders instead of the parent.
  2. The Custom Field's sharing settings should include the Collaborators in question, or be shared with everyone. To access this menu, click on the arrow next to the name of the column in Table View and select "Edit".
