Managing Custom Item Types Suggestions
Account owners and admins can manage the visibility of all existing custom item types in the entire account. Space admins can manage the visibility of custom item types in their space.
On Enterprise accounts, the types of users who are allowed to use this functionality may differ due to user types settings.
You can make some custom item types visible in the context creation and under the big + button at the top of the workspace to provide users quick access to these types. This way, when users create a new work item inside a space, folder, or regular project or task, they'll see the suggested custom item types in the list and can simply click on one to create work.
The suggestion settings don't affect the suggestion menu within custom item types. You can change the suggestion list of a type only by editing the custom item type.
Navigate to the relevant location: space, folder, or project.
Click the + button at the top of the workspace.
Select Customize menu.
Click the toggle button next to the relevant custom item types. A white toggle means the type is not displayed in the quick menu, while a blue toggle means the type is displayed.
Click Back at the bottom.
Alternatively, you can click the Item/+ Add item button in List, Table, or Board view and click the blue drop-down on the right to manage custom item types suggestions.
If you adjust a suggestion while directly inside a space, users will see the selected suggestions in all folders and regular projects and tasks that are inside that space. If you want to change this, you can navigate to relevant folders, projects, or tasks and change the suggested custom item types in them individually.
If you adjust the suggestion menu while inside a folder, project, or task, the selected suggestions will only be visible to users in that location, alongside general space suggestions, if there are any.
You can also remove any custom item types and regular tasks, projects, and folders from the suggestion menu. When you remove items from suggestions, keep in mind that users will still be able to use the rest of the custom item types, but they'll need to use the corresponding search field to find them before creating work items.
