Overview
Dashboard widgets provides teams with deeper visibility into how work progresses across projects, helping identify bottlenecks, improve planning accuracy, and optimize resource utilization. The widgets highlight key performance indicators such as time spent in different workflow stages, total duration to complete tasks, overdue trends, alignment between planned effort and actual time logged, team capacity versus utilization, project budget performance, and overall progress toward completion. Together, these insights enable teams to monitor efficiency, forecast more accurately, and make informed decisions that improve project delivery and outcomes.
Time Spent in Historical Task Statuses
The widget can be built on Pinnacle accounts.
This Stacked Column chart is designed to help teams better understand how work moves through their workflow by visualizing how long tasks or projects spend in each status over time.
With this widget, users can quickly see:
- Total, maximum, or average time spent in a status, for example, how long tasks typically remain In Review, or which projects are stuck in On Hold.
- A breakdown by Historical status, meaning you’re not just seeing where the work is now, but where it has been. This makes it easier to pinpoint bottlenecks or inefficiencies in past steps.
- Alternatively, you can break the view down by Historical Status Groups such as Active, Completed, Deferred, or Cancelled to get a high-level look at how work progresses through your lifecycle.
To make the report even more insightful, the data can be grouped in several useful ways:
- By the Historical status date (date when the item entered a historical status), which helps track trends and spot workflow delays that emerge over time.
- Or by common attributes such as Project, Assignee, Status, Status Group, Start/Due Dates etc. allowing teams to compare performance across people, timelines, or types of work.
Steps to create the Time Spent in Historical Task Statuses widget:
- Open an existing Dashboard or create a new one.
- Click + Widget in the top-right corner of a populated Dashboard or in the center of a blank Dashboard 1.

- Click + Custom Widget at the top-right corner 2.
- Select Chart 3.
- Select Stacked column chart in the panel below 4.
- Choose Task (or Task Custom Item type) under the Reporting on option (alternatively you can choose to report on Projects) 5.
- Click on the + Metric button and choose Total, Max or Average time spent in status 6.
- Choose Historical Status (or Historical Status group) in the Break by 7.
- Click on the Filters section and apply the necessary filters (e.g. show specific Historical statuses or Assignees) 8.
- Click on the Create widget button 9.
Total Time to Task Completion
This widget provides a clear, bar-chart view of how long it takes tasks to reach completion, helping teams quickly spot trends in performance and workflow efficiency. Since this metric focuses specifically on tasks, project-level items are excluded to ensure accuracy.
With this widget, users can easily track:
- Total, maximum, or average time to completion - giving teams a reliable way to understand overall cycle time, identify outliers, and monitor how long work typically takes from start to finish.
You can break the results down by:
- Assignee, to see how workload or experience impacts completion time across team members.
- Workflow, to understand which stages or process paths result in faster or slower task completion.
To make the chart even more actionable, the data can be grouped by:
- Due Date, to analyze whether deadlines influence completion speed.
- Created Date, to understand trends in cycle time based on when work enters the system.
- Completed Date, giving a clear picture of how long recent tasks took and whether performance is improving over time.
- Other common attributes such as Status, Status Group, Author, Start/Last Modified Dates or Importance.
Steps to create the Total Time to Task Completion widget:
- Open an existing Dashboard or create a new one.
- Click + Widget in the top-right corner of a populated Dashboard or in the center of a blank Dashboard 1.
- Click + Custom Widget at the top-right corner 2.
- Select Chart 3.
- Select Bar chart in the panel below 4.
- Choose Task (or Task Custom Item type) under the Reporting on option (Projects can not be selected for this metric) 5.
- Click on the + Metric button and choose Total time to completion 6.
- Select Assignee or Workflow in Break By 7.
- Click on the Filters section and apply the necessary filters (e.g. show tasks with specific custom field values or assigned to specific users) 8.
- Click on the Create widget button once you are satisfied with the settings 9.
Average Time Tasks Remain Overdue
This indicator widget gives teams a simple, high-visibility snapshot of how well they’re keeping up with deadlines by highlighting the average time tasks are overdue. Since this metric relies on task-level due dates, it is available only for tasks, not projects.
With this widget, users can immediately see how long, on average, tasks remain overdue, helping teams understand whether overdue work is a rare exception or a recurring issue.
Steps to create the Average Time Tasks Remain Overdue widget:
- Open an existing Dashboard or create a new one.
- Click + Widget in the top-right corner of a populated Dashboard or in the center of a blank Dashboard 1.
- Click + Custom Widget at the top-right corner 2.
- Select Chart 3.
- Select Indicator in the panel below 4.
- Choose Task (or Task Custom Item type) under the Reporting on option 5.
- Click on the + Metric button and choose Average time overdue 6.
- Click on the Filters section and apply the necessary filters (e.g. show tasks with specific custom field values or assigned to specific users) 7.
- Click on the Create widget button once you are satisfied with the settings 8.
Effort vs. Time Spent by User or Job Role
The widget can be built on Business accounts and above.
This pivot-style widget gives teams a flexible, high-level view of how work effort is distributed across the organization.
The widget displays two key metrics:
- Effort - the planned amount of work estimated for tasks.
- Time Spent - the actual time logged in tasks by team members.
Users can break these metrics down by:
- User, to see which team members are contributing effort and time, or to evaluate workload balance.
- Job Role, to understand how different functions (e.g., designers, developers, analysts) are spending their time and contributing to project delivery.
A Date filter allows teams to focus on a specific reporting period, for example, a sprint, month, or quarter, making it easy to compare trends over time or align reports with planning cycles.
Steps to create the Effort vs. Time Spent by User or Job Role widget:
- Open an existing Dashboard or create a new one.
- Click + Widget in the top-right corner of a populated Dashboard or in the center of a blank Dashboard 1.
- Click + Custom Widget at the top-right corner 2.
- Select Chart 3.
- Select Pivot table in the panel below 4.
- Choose Task (or Task Custom Item type) under the Reporting on option (alternatively you can choose to report on Projects level) 5.
- Click on the + Metric button and choose Effort and Time Spent metrics 6.
- Choose User or Job Role in the Break by (note that you can only have one grouping level for this setup) 7.
- Click on the Filters section and apply the necessary filters (e.g. to show specific time range (use filter option Date)) 8.

Team Capacity Compared to Allocation or Utilization
The widget can be built on Business accounts and above.
This bar-chart widget gives teams a clear and practical way to understand how work is distributed across their people and roles by comparing capacity with planned or actual effort. It’s designed to help leaders quickly identify whether workload is balanced, whether the team is overextended, and how individual contributors or job roles are being utilized.
With this widget, users can easily track:
- Capacity - how much time or availability each team member or role has for work during the selected timeframe.
- Available Time or Utilization - shows how much of a team’s or individual’s available working time is being used, helping identify under- or over-allocation.
When viewed together, these metrics reveal gaps, overloads, or unused capacity - essential insights for effective resource planning.
To make the view more meaningful, the data can be grouped by:
- User, to compare workload across individuals.
- Job Role, to see how different functions (such as designers, developers, analysts) contribute and where bottlenecks occur.
- Date, so teams can analyze these trends across weeks, sprints, or months.
Steps to create the Team Capacity Compared to Allocation or Utilization widget:
- Open an existing Dashboard or create a new one.
- Click + Widget in the top-right corner of a populated Dashboard or in the center of a blank Dashboard 1.
- Click + Custom Widget at the top-right corner 2.
- Select Chart 3.
- Select Bar table in the panel below 4.
- Choose Team under the Reporting on option (team metrics are unavailable if you select Task or Project) 5.
- Click on the + Metric button and choose Capacity and Available time and /or Utilization metrics 6.
- Choose User or Job Role in the Break by 7.
- Click on the Filters section and apply the necessary filters (e.g. to show specific time range (use filter option Date)) 8.

Budgeted Costs vs. Actual Project Costs
The widget can be built on Pinnacle accounts.
This pivot-style widget gives teams a flexible way to track the financial health of their work by comparing budgeted costs with actual fees or costs across projects or tasks. It helps teams understand where money is being spent, how closely work aligns with financial expectations, and where potential overruns may be forming.
With this widget, users can quickly see:
- Budget - the planned financial allocation for a project.
- Actual Fees/Cost - the real cost incurred as work progresses or completes (calculated in tasks).
By placing these metrics side by side, teams can identify variances early, improve forecasting, and make more informed decisions about resources and priorities.
The pivot layout allows users to group financial data in different, highly practical ways:
- By Assignee, to understand who is responsible for cost-heavy work or how effort translates into financial impact across team members.
- By Completed Date, to review cost performance over time - helpful for period-based reporting or analyzing trends across sprints, months, or quarters.
- By Project, to evaluate which projects are staying within budget and which may require attention or recalibration.
Steps to create the Budgeted Costs vs. Actual Project Costs widget:
- Open an existing Dashboard or create a new one.

- Choose Project under the Reporting on option (alternatively you can choose to report on Tasks) 5.
- Click on the + Metric button and choose Budget and Actual Cost and Actual Fees metrics 6.
- Choose Project or Assignee in the Break by 7.

Burnup Chart for Completed vs Active Tasks
This line-style burnup chart gives teams a clear, time-based view of their progress by showing how much work has been completed compared to the scope of active work. It helps teams understand whether they are on track, how scope evolves over time, and whether changes in pace are due to work being added or actual delivery slowdowns.
With this widget, users can quickly see:
- Completed Work - the amount of work finished over time, revealing how team output is growing during a sprint or project.
- Active tasks - the planned amount of work, which rises if new tasks or requirements are added and stays flat when scope is stable.
By comparing these two lines, teams can easily determine whether they are progressing fast enough to meet their goals, how scope changes affect timelines, and whether delivery challenges stem from workload growth or velocity issues.
The line format allows users to analyze progress By Date, to track how work completion trends change daily, weekly, or across sprints
Important: Line chart can only break data by Dates.

- Open an existing Dashboard or create a new one.
- Click + Widget in the top-right corner of a populated Dashboard or in the center of a blank Dashboard 1.
- Click + Custom Widget at the top-right corner 2.
- Select Chart 3.
- Select Line table in the panel below 4.
- Choose Task under the Reporting on option (alternatively you can choose to report on Projects) 5.
- Click on the + Metric button and choose Completed and Active metrics 6.
- Choose Date in the Break by 7.
- Click on the Filters section and apply the necessary filters (filter Date to a specific time range) 8.
- Click on the Create widget button 9.
