  1. Specify effort on all tasks that require actual effort to complete.

    1. There are a few different ways to do that, so choose the one that fits you best.

  2. Create and assign job roles to your employees. And assign tasks to corresponding job roles.

  3. Create a Workload chart for each team whose capacity you need to manage.

    1. A Workload chart shows all scheduled tasks with effort assigned to your team members on a timeline. You can create, reschedule, and reassign tasks, edit their effort directly from the chart, and group them according to the project that they're in.

  4. Configure a Backlog Box for your Workload charts.

    1. The Backlog Box is a place for tasks that are waiting to be assigned or scheduled. You can configure it based on different task attributes, e.g., you can choose to show only tasks with a specific status.

  5. Share Workload charts with your teammates.

    1. After the Workload chart is created and configured, you can share it with your teammates. If needed, you can set up access roles for users and user groups that you're sharing the chart with.

When you share a Workload chart, its folders are not automatically shared with the user or group.

  6. Track your working hours with timesheets.

    1. Timesheets help employees see and track all the work they’ve done for the week. And setting billable time automatically marks working time entries as billable or non-billable. Users can also review others’ timesheets and lock time entries in the Timelog view to prevent them from being edited.

  7. Check team utilization.

    1. With the Team Utilization report template, you get an overview of how well your employees’ capacity is utilized and what percentage of their time is spent on billable tasks.
