Troubleshoot Wrike Workload Chart

If you notice incorrect or missing effort allocation in Workload charts, there are a few steps you can take to address these issues.

Incorrect Effort Allocation

  • The most common cause for unexpected effort being displayed in your Workload charts is due to a filter being applied while the "Ignore filter" option is selected in the daily allocation setting under the three-dot menu of the chart.
    This means that while the chart displays only filtered tasks, it tallies effort from all tasks regardless of filters. This option is useful when you don't want to see filtered-out tasks, but still have an overview of the whole workload.

    If you want to tally effort only from the tasks that are currently displayed, select the "Displayed tasks only" option.
  • Another cause could be Bookings. If a user has both task effort and booked effort on one chart allocated for the same date, the chart will compare the values inside each project and use the one that is greater when calculating the total allocation.

Other Allocated Effort

By design, Wrike tallies effort from all assigned and scheduled tasks across the entire account, regardless of the Workload chart's scope or sharing.
This means that if you have a chart that has only a certain folder or space in its scope, It will display only tasks from this location, but effort will be tallied from the entire account. If there is effort outside the scope of the chart, it will be displayed as a shaded part of the cell. This might result in a situation where the chart says that the user has 8h allocated effort on a day and their capacity is 8h/d, but the cell is red.
This is designed to give you an overview of the total workload for the user. So, while this user might appear to be within their capacity on this chart, they may actually be overloaded across the account.

To identify where the tasks come form, you can create a chart that has the entire account as its scope.

Note

Only tasks shared with you are displayed, but effort from unshared tasks will still be tallied and displayed as a shaded part of the cell.

Missing Effort

When you noticed that the Effort was cleared out or somehow disappeared, there could be a simple reason for that. Here are the most common:

  • A user rescheduled a task with flexible effort in date picker, Table view etc. In such a case, all daily allocations not within the new duration, are cleared. This is because flexible effort is tied to task duration.
  • A user reduced duration of a task with flexible effort on the chart and then reverted to original duration. Similarly to the previous point, the allocations on the affected days will be cleared.
  • A user edited the effort or deleted it. Note that Wrike isn't keeping track of changes in effort at the moment.

FAQ

Can I create a Workload chart with multiple Spaces as its scope?

No, you can select only one location as the scope. However, you can tag multiple folders with one folder created for this purpose, and use it as the scope. That will not work with Spaces, as you can't tag a Space with a Space.

How is full-time equivalent (FTE) calculated in a Workload chart?

FTE is one working day, which equals the daily capacity in the Default Schedule. Capacity in the Custom Work Schedules is not reflected. If a user has a different capacity in their custom schedule, they are not considered a full-time worker. For example, the capacity in the Default Schedule is 8h/d. A user has 4 hours allocated on a day, they are a half-time worker and FTE will show as 0,5 in the daily zoom. In weekly zoom, if each day in the week the user has 4h/d, it is 4h x 5d = 20h, so FTE will be again 0,5 (because the week has 40h). The monthly zoom works the same, but keep in mind it is counting with 176h/month (22 workdays).
