[Use Cases] Wrike Governance ๐

You may have already seen that our team recently launched a new Use Case template - Wrike Governance ๐ฅณ
Today, weโd like to take a deeper dive into what this template has to offer for admins, champions, and anyone else on your team.

Wrike Governanceย
Now we know the basics of the Governance template, letโs look at the specifics!ย
First things first - we need to take a look at how to use this template. Thereโs a folder called โStart here!โ that is dedicated to just that - it helps you to get started with Wrike Governance. In that folder, youโll find a guide on how to use the template as well as tasks that serve as a checklist for how to implement a successful account governance process.ย
These important steps include building your champions team, establishing naming conventions, governing permissions and access roles, and more. Account owners, admins, and/or champions can use this folder as a starting point and add to or edit the folderโs content. Each task contains a description or a guide to get you started.
The next folder, โWrike Knowledge Baseโ, is there to store frequently asked questions and the answers to them. Share this folder with your team and keep it updated so that your colleagues can easily find solutions without having to ask for help.
โWrike On-boardingโ contains subfolders for:
- Useful links - quick access to helpful resources like the Help Center, Wrike Community, video tutorials, etc.
- Wrike Online Tutorials (organized by role) - here, youโll find links to Wrike Discover courses grouped by different roles.
- New User Training Plans - this subfolder can be populated by submitting a request form that creates a task every time someone on the team (usually a new team member) needs training.
The next folder, โWrike User Support and Engagementโ, is there to help you assist users. There are three subfolders here for service requests, suggestions, and user surveys. Like New User Training Plans, they are populated by submitting pre-made requests in Wrike.
These resources are a great way for you to make sure users get help when they need it, as well as monitor user feedback and make changes to your processes when necessary.ย
The โWrike Maintenanceโ folder is essentially a set of useful checklists for account owners and admins. It provides a framework to ensure your Wrike account continues to help you keep everything under control - while youโre busy doing the best work of your life!
You can store and update your meeting notes and monitor user suggestions in the โPlans Backlogโ subfolder of the next folder in this template - โWrike Championsโ.ย
Weโve already covered how to use Wrike for keeping meeting notes organized, and hope that this post will guide you on best practices if you arenโt using Wrike for meeting notes yet.
Last but not least, in the โzTemplatesโ folder you will find a template for a knowledge base, as well as a ready-to-use Wrike End User Training project that you can duplicate for any new hire.ย
Apart from the folder structure that weโve just discussed, this Use Case template also comes with a tool section where you can find handy reports and a Service Request dashboard. There are also three request forms that populate the templateโs folders:ย

- Wrike User Survey

Getting started with a Center of Excellence like this now - it's going to be really useful, and there are a lot of great ideas in here.ย
This template is being release just in time, since I'm currently building the governance practice for our team.ย
I had the time to explore. It's very well done -ย good content, structure and guidelines.
This isn't something we will jump into either way but as we re-evaluate governance processes, this could be very helpful.
We haven't built a great process on Wrike Training & Governance. It is on the list of projects as this will be a great help! Currently each team manager on Wrike is responsible for their employees however I keep the owner permissions.

This is great timing. My Wrike CSM and I have been discussing a Champions network. Plus as our platform is expanding to other groups and we have not established a good governance process, this can be a good guide for our next steps. Thanks for sharing!
Nice reminder of a lot of things you should remember when starting.
Wish this template had been around when we started back in 2018 - but essentially, most of what is covered here is what we've adopted along our journey.
Knowledge base and FAQs being one of the first things we prioritized, as we wanted a place for all our users to be able to access training materials, best practices and tips.ย This also made it really easy to support our teams, as we would just send the permalink to the FAQ when support questions came up.
Since then, we've also established a governance team - where we showcase internal "wins", new process adoptions, etc. and chat through features and platforms needs as they arise.ย This is tracked in our BT Governance Space - which partly servers to document the governance meetings, but also to keep record of what we are talking to our CSM about as well.ย

This is great! We've built something like this from scratch but it's in bits and pieces and spread all over the place. This template will be useful to fill in the missing pieces and help keep things organized. Thank you!

Should I see anything in the Descriptions in tasks in the 00. Start Here! folder?ย They are all empty, including the "00. Start Here!"
Hi Lena, I think you have to wait for it to populate.ย ย I Had the same reaction, but minutes after, everything was there...

Hi Eric.ย Thanks for the tip, but nothing has appeared after several hours.ย I'll try again tomorrow and, if nothing shows, I'll contact support.
Looks great - this is one area we realised too late we needed to give attention to before everyone changing Wrike to their settings grew into a snowball we couldn't stop!ย
We're also implementing a new accounts program this month - I'm going to see if this template works for the new program too

This looks like a great use case template! Our team already has a SME and Governance group set up. We use this space for new user requests, Wrike feedback/updates desired, governance approvals for changes to spaces and request forms, and we recently launched our new user training space too! I think we cover nearly everything here except the knowledge base, which we house on our intranet site.ย
I hope this helps a lot of other accounts out! This is a must have resource for any large teams/companies using Wrike!
Lisa.ย Thanks for the offer.ย I deleted the existing two Wrike Governance spaces I created yesterday, created a new one and the tasks are still not populated.

Hi Lisa.ย I was able to determine the issue.ย Our account settings do now allow for attachments of any kind.ย When I turned on all of the attachment options and recreated the Space, the descriptions and attachments appeared!ย Eric was correct that it took a few moments for the descriptions to appear, but they popped in quickly.ย
I will save local copies of the PDFs and will then turn off the document storage features.ย We cannot store documents in Wrike to satisfy my company's CIS policy.
