[New to Wrike] Guests Review (Wrike Labs)

This has been asked for across the Community for many different use cases types so I'm delighted to hear it's now in our Labs for you to try out 😎
 
What is it and how can I use it?
Note: Admins on accounts can enable Guest Reviews from Labs. 
 
You can use Guest Reviews to invite your clients, who don’t have a Wrike account, to review files. They can comment on files, give their decision, and even receive replies to their comments from Wrike, via email.
 
Unlike collaborators, Guest Reviews are for reviewing files, which is really useful when that the only part of the Task or Project you need their input on.
 
  • They can't see any data from your Wrike account other than files for review that are assigned to them. They don’t have access to your Tasks, Folders, and Projects.
  • You can work with Proofing comments added by Guest Users in the same way you work with regular Proofing comments. So useful!
  • Compatible Guest review files types are image (.bmp, .gif, .jpeg, .png) and .pdf files

I'm really excited about this new feature! I started using it with a few folks that don't need to be in Wrike often enough to warrant Collaborator access. However, do these Guest Reviewers get notified when you upload a new version of the file that they are reviewing?

In future are there plans to allow @mentioning Guest reviewers so they get an email notification that there is a specific comment directed to them on the review item?

We use @mentions a lot when doing proofing/review, so keeping that functionality with Guest Reviewing would be incredibly helpful for my team.

Is this feature gone already? I can't see it to select it in Labs? Looks like a really useful feature I was keen to try out.

Thanks Stephen, but I am the account admin and I still can't see it in the Labs option. Am I doing something wrong? I'm logged in and clicking on the link in the above, but it's not there fro me to choose from.😕

@Kathryn, I told today, that there was a bug yesterday preventing some people from seeing this. It was fixed today so there should be no issue with it now. Let me know how you get on 👍

Quick update. You can now hide Comments. When the box is unchecked, Guest Reviewers can see only comments added by them or other Guest Reviewers and replies to those comments 👍

Will there ever be options to set which review tools/marks the Guest can use? For example, if we have a client we want to review a poster design but we don't want them to be able to play designer and draw all over it can we enable only adding dots with the comment? Or only allow dots and arrows?

Hi Joe, I might be misunderstanding your question, but right now Guests can comment on files, give their decision, and receive replies to their comments via email.

There are some advanced settings to for more control:

  • Check the “Download file” box to allow Guest Users to download files.
  • Check the "Show internal comments" box to make all comments available to the Guest User. If the box is unchecked, then Guest Users can see only Guest Users' comments and replies to them.
  • Check the “See all file versions” box to let the Guest User see all versions of files in review; uncheck it to allow them to see only the latest version.
  • Select how long the Guest User should have access to files in the review. You can choose one of the predefined values or set a custom date. By default, access expires 30 days after the Review is assigned.

@Stephen. What I'd love to be able to do is control what options a client has when marking a file they are reviewing. For example, some clients it'd be ideal if we could turn off a Guest's use of the free-draw tool to when they're leaving comments on an image. Being able to control what comment tools a Guest can use when reviewing a file would be great. Hope that clarifies the original question.

Hi Wrike - we are loving guest reviews and cannot wait to roll this out at a greater scale. One request - Can we somehow be reminded/notified if something is not approved within a few days? Or an automatic re-send to reminder the approver that we're waiting? This will be a great help so we aren't having to track down open approvals.

Hey Laura, that sounds great, you'll need to report back with ay tips and insights for everyone once you're using it more and more 🙂

As for the reminder. There's no real auto-reminder for this. It's a good idea though so I'll make sure to share it with the team.

For now, someone within the account will need to prompt the reviewer. When editing the Guest Review you have the option to resend the invite. This creates an email notification for the person.

If you need to manage these tasks where guest reviewers are needed, you could add a Workflow status, say, "Guest Reviewing". You can then create a Dashboard widget that's filtered by this status. This way you have a quick Dashboard reference of all the tasks that are under Guest Review and from there you can manage any reminders by resending invites where needed.

Do you think something like this may work for now?

Thanks Stephen. It's great to know that we can resend the invite. We are doing as you suggested with the custom status, however, we are tracking hundreds of tasks across dozens of customers (reviewers), so it's difficult and time consuming to manage all of these. It would be great if the system could help us be more efficient by auto-sending for us. Let me know if you have any questions and we look forward to watching this feature evolve.

Is there any way to create a link that could be sent to guest reviewers and shared with others? Or a way to allow a guest reviewer to add others? Our stakeholders sometimes want to share reviews more broadly and it would save a step of them not having to come back to us and asking us to send out more guest reviews.

Hi @Jenna! Currently, users are unable to send links to guest reviewers. The only way to send an invitation for Guest Reviews is with invitations by email through Wrike. You could, however, give them access to download the files to send on to other possible reviewers through the Guest Reviewer settings.

Can external users who should have the same access as a regular user (minus they are from an outside domain) be able to send guest reviews? We're finding that they cannot and we don't understand why.
