[From Wrike] Financial Fields and Resource Management in Advanced Analytics (Wrike Analyze)

Hi Community,

My name is Herine, I’m the lead Wrike Analyze expert in Support, and today I’m happy to follow up on the biggest news we’ve had in a while for Advanced Reporting! 🥳

After collecting your feedback and running lots of tests, we are happy to address one of the most wanted customers requests for Wrike Analyze to make your reports even more flexible and advanced than before! 👇

  • It’s now possible to build new charts with data on user and team capacity, effort or project finances
  • The new metrics provide a great way to track capacity, oversee resources and plan future operations
  • You can track expenses and earnings across their projects which is key for a successful project delivery

Note: These features are available for the customers on the Pinnacle subscription plan.

Current Limitations

Since the new fields can significantly increase the amount of exported data, the export might take a bit longer than usual. 

We realize that not everyone may need budgeting and resource management data in their reports. To avoid overloading databases with unnecessary information, we’re currently adding these new field sets by request.

If you are still missing these fields in your data browser, please submit a Support ticket, and we’ll activate them in your account. 

Use cases

What can be achieved with the new fields now?

Budgeting 💰

Financial fields were never part of Wrike Analyze, and we used to suggest replacing them with custom fields or writing quite advanced formulas. Now, this is not a case anymore, all the financial fields can be used for reporting. 

For example, if you’d like to report on Actual Cost of your projects, you could just add this metric directly from Data Browser:

Effort 💪

Reporting on effort could be cumbersome since Utilization & Performance did not show future effort and did not display daily effort correctly, while Wrike Core did not show effort distribution by date and user. Now, it can be flawless in both data models!

If project data is required, you can report on effort in the Wrike Core model (all the template reports except for Utilization & Performance and custom reports):


If you’d like to report on capacity primarily, it’s better to use the Utilization & Performance model, and you’ll also be able to see the planned workload for the future, including bookings:


Capacity 📥

Default work schedule dates and daily capacity did not pull data from account settings and always showed 8 hours for Monday-Friday. With the new fields, you can display both custom capacity and work schedules, including vacations, public holidays, etc. This way workload reporting will be way more accurate!

For example, here’s my capacity report for this week:

You can notice that one user stands out :) Luke has a custom work schedule with daily capacity set to 10 hours, while everyone else is expected to work 8 hours a day. Also it now shows full week capacity, including the upcoming dates!

We love these new features.  Thank you!!

"Assignee Effort Date" and "Assignee Task Effort (minutes)" are particularly helpful to us in the Wrike Core data source.  However, we've noticed that they don't seem to work correctly when a task has multiple assignees and the effort mode is set to flexible.  No data is returned in this use case.  If there is a single assignee and the effort mode is set to flexible, the new fields seem to work correctly.  So, it seems that the issue is with having multiple assignees on a task.  I know that's not a best practice, and we'll try to adjust our approach, but I wanted to make you aware of how the new fields are behaving in this scenario.

Are these fields also available in the Wrike BI Export - for example, I don't believe Project Bookings are available in the BI Export today. Thanks!

Hi Herine

thank you for your articles. They are very helpful. We love them.
We are working with the resource management report, and we recognised that "Job Roles" are currently considered in the data model of Wrike Core as "users".
Is there a way we can exclude "Job Roles" from the available capacity and overall capacity?
Is it great to consider them for the allocated effort, but obviously, they are not relevant when we calculate the capacity of the team?

Can you please help on that?

I had a similar situation and to resolve in our Analyze dashboards I added another filter definition that specifically excluded the job role names where it was not needed (for instance when calculating capacity for an actual team of people). The additional filter can be applied either at the overall dashboard level, or on the individual widgets as needed.

At the individual widget level, I did this by setting the filter to exclude specific role names from the scope of the data, for example:

"User Name" Doesn't Contain "Manager" AND "User Name" Doesn't Contain "Placeholder"

thank you for your recommendation. 
I successfully managed to add the filter at the dashboard and at the widget level. Thank you!

However, I would like to use the Column Chart, which is predefined in the Utilization and Performance template, where there are different Fx to display Available Capacity and Assigned Effort. I would like to apply the filter to exclude Job Roles only in the function which is used to calculate "Available capacity". 

The existing formula is the following: do you know if it is possible to apply the filter you described exclusively in the formula below? This way I will have a clear visualisation of the effective available capacity of our team (excluding the Job Roles), but at the same time the Assigned effort already allocated to the users and job roles:

IF([Total User Total Allocated Effort (minutes)]/60>=[Total User Work Schedule Working Hours], null, ([Total User Work Schedule Working Hours]-([Total User Total Allocated Effort (minutes)]/60))/1)

I wish we had Wrike Analyze, but we are on a trial period for Wrike Pinnacle that has pre-built budgeting fields.
