[Status: Launched! ๐] Calendar view of task assignments
I'd like to be able to view all projects and all team members assigned to tasks with a timeline in a calendar view that could be filtered by person or project as needed. ย It would help with assignment of resources to new projects as they arise and will help estimate timelines for completion if all team members are booked solid.
Hi @Christine, thanks for adding this idea here! I'm sure you already know about this but for new users I just wanted to mention the Workload View in Wrike. It lets you view tasks on a timeline and assign and reassign tasks from there. ย ย
@Stephanie, Actually I am fairly ย new and need some help with this view. ย Not sure if I can find it or have access to it. Is there a tutorial or information on it?
ย
ย
@Christine, I'm sorry about that, I meant to add a link in my post. You can find information here: https://help.wrike.com/hc/en-us/articles/209604069-Workload-View.ย
The default is for the Workload Viewย to show tasks from a particular Folder/Project (and its Subfolders/Subprojects), but you can check a box next to "show full workload" to see tasks from other Folders/Projects as well. Let me know if you have any questions, happy to talk more about how the view works.ย
@Stephanie, I'm also looking for a more calendar view of projects. The workload is not working for us. It's too cumbersome to see every task laid out like that. Rather, we'd like an overall calendar that shows the projects for the month so you can see if there are months that are overloaded or not.ย
Vicky - like this? I think this view of tasks due dates would be really helpful and you could switch from seeing individual tasks to project tasks.
ย
Hi Vicky and Lauren, thanks for commenting on this! @Lauren, I appreciate the screenshot, this is insightful. Do you thinkย this could also be similar to something like a Dashboard View, but based on Projects instead of solely tasks?
Yeah something like that screenshot would be great - is that a Wrike screenshot or are you using another tool?ย
ย
@Anastasia - I don't find the dashboards particularly helpful. It's a long list of tasks and it doesn't give any insights: a calendar would show that some people are overworked and some are not, the times that are busy, if you push something off, what other project it affects etc.ย
Vicky, it's an example I found off of the internet from a previous system we used for PM 4-5 years ago. ย We are only using Wrike now for our Project Management needs, we saw more growth and potential in Wrike then the other system.ย
A calendar view for projects and tasks is really fundamental. ย Timeline unfortunately won't cut it as it's not the format most people view their schedules. ย We're constantly having to manually map out wrike projects on calendars in Excel in order to communicate them to other less tech-saavy team members.
Alex, there is a Wrike to Outlook function that I use to map out all of our email sends. It works great but to your point it takes them out of the one resource we want people to faithfully work in. I'd love to see my tasks in a calendar block instead of a timeline.ย
In my opinion, adding a calendar view option within Wrike (as an alternative to the timeline view) would be the biggest improvement that could be made. ย
Hi everyone, I realized I didn't mention these optionsย earlier, there's not a native calendar view within Wrike, but you can use the "export to iCal" option to have tasks show up on the calendar you use. If you use Google Calendar, there's also a Labs feature which lets you add tasks to your calendar. @Alex I hope one of those options helps with some of the manual mapping.ย
@Stephanie - Yes we were initially thinking that the Google Calendar or iCal integration would be just what we needed, but after looking into these in more detail and trialling them, we were pretty disappointed. In particular on the Google Calendar:
1.) You can't have a task spread over multiple days, meaning a job booked in Wrike that takes a week, will only show in Google Calendar as taking place on a single day.
Hi Walter, thanks for the details about why the Google Calendar integration doesn't work for you. Those are actually both points that our Product Managers have considered and it's helpful to know that those areas, in particular, are where improvements could be made.ย
This request comes up frequently for my users. ย We are a Microsoft shop, and use Outlook all the time. ย The Outlook integration is to rigid. ย In order for it to work, we would need 2ย big things:
1. Every event comes over as an all day event. This makes it impossible to actually schedule the time I need to work on the task.
2. I can't set reminders to remind myself that I need work on anything, because the entries are read only.
Adding a calendar feature into Wrike, like the Trellius gadget from Trello would be great.
Hi Todd! Thank you for adding your thoughts to this request. The Google Calendar Integration allows you to schedule tasks as time-based events in the calendar - are you looking for something similar for Outlook?
One of two things. First, a different view in Wrike, showing a more traditional calendar. Second, externally I'm looking for something similar to Google for outlook.
@Todd, thank you for following up and for the clarification!
Please please please add this feature! Wrike is so robust and flexible and I was very surprised to learn this feature did not already exist. A traditional Monthly Calendar view with drag and drop capabilities (similar to how you can drag and drop things on the timeline) view would be so very helpful. We just switched from Asana and this is one of the major features from that platform I miss. Calendar sync is not the same, as this requires me to look in yet another place for information.ย
Hi Samantha, welcome to Wrike :) First things: if you haven't already, make sure youย add a +1 toย the first post on the thread. Sine you're new to Wrike, I also wanted to mention some features that I really like for visibility: Reports and Dashboards. Again, I know those aren't a calendar view, but they're both something I (and lots of teams) use to get visibility. Let me know if you want to talk more about either of those!
I am with the rest of these people. When I need to look at what is going on for the month, week etc. a calendar view is more intuitive than anything else especially for senior management. This is a must add.

Thanks Stephanie.ย I will try out those features once we get into it. Please consider building this view alongside the others. Would be awesome!
I will add my request as well- please add a calendar view feature! Only certain departments use Wrike in my organization, so I am constantly managing two timelines for the same project; Wrike-dependent departments see the schedule in Wrike and the other departments get the schedule update via email.ย Theย "Share Timeline" feature is a step in the right direction, but those take too long to digest so no one refers to them. A calendar view is a must and a great fix for many pain points.ย
Chiming in for adding a 'month view' calendar so I can see my team's workload as a whole and use it for scheduling work. This would be awesome. The screenshot shared above is exactly what we're looking for!
ย
This would be a terrific add-on for our team. We are currently using the Outlook Integration, but it can be hard to visualize all the projects since the labels show up first. it would also be cool to be able to pull a calendar off a search filter or folder so you could add just the important tasks or deadlines.
+1 Without the calendar viewย of projects I'm not sure I will be able toย implement Write. Please add the feature!
ย
This has been a pretty considerable roadblock in encouraging widespread adoption at our company. For the processes that we're currently using Wrike in, people are actually going back to our old solution just to make calendar views - not a good thing. This seems like a heavily requested feature... what can we do to make this happen?
Hi everyone! @Evan, I still don't have anything to share regarding plans at the moment, but let me assure you that this is something we have been talking a lot about with our Product Team. Our best go-to in these cases is user feedback, so it's great to have all of these ideas and feedback accumulated here!
Having a visual calendar layout to have a high level view of projects is exactly what Wrike needs! Our company recently switched to Wrike from JIRA because of some key features that work better for our Marketing and Creative departments. We were really excited that Wrike has Editorial Calendar features as well-- BUT, now that we're getting into the trenches of building out our structures in Wrike, not having a standardย monthly calendarย grid is a major issue. And the calendar integrations just mean another tool rather than being able to use Wrike as single source of information.
PLEASE PLEASE make this a new feature SOON! I'm open to using a beta version at the least.
Hi Priscilla, thanks for your input and use case here. If we have any information on this we'll be sure to pass on here. Also, thank you for volunteering for a beta test. If this comes available I'll update you about this too. Thanks!
