How does Wrike’s Design Team use Wrike?

Hello everyone!

I'm Valentin and I'm a Design Operations Manager in Wrike’s Creative Team. I'm responsible for managing and improving our design production flow within the team by using consistent toolsets and processes. I also make sure that the team has everything they need to get the job done and that they are happy with the tasks they are responsible for.

The Creative Team in Wrike fuels the entire organization and receives many requests, most of them urgent — needed today or even yesterday. Those requests don’t just originate from the Marketing team but from many other sources too, as our design team fuels the brand identity for the entire organization. That’s why Wrike is our single source of truth that organizes all our work and the requests we receive!

At the end of every week, each designer fills in a weekly report showing the progress of the top three most important tasks of the week. It helps us all to see our progress, and it increases cross-team collaboration and visibility because everyone sees what other teams are doing.

Example with the structure of the report

Blueprints

We don’t compile these reports each time manually. It would be a boring task and a waste of time in the already busy calendars of our team members. We use Blueprints to streamline our work and to create tasks with reporting for the month ahead.

Blueprint setup

Automation

We configured an automation script, so designers receive a reminder every Friday in their Wrike inbox with a link to the report and a reminder to fill in their sections. When you complete the report Wrike will send a comment to the team manager to review the results. The team loves it!

Thanks for the outline of a process your team uses in Wrike! Always great to see how others set a process up for more ideas.

This is a great example of connecting teams through blueprints and using automation rules.  Does your task also have a recurrence set up each week (or no, because there are subtasks for each domain?)

Thanks for sharing! This got my gears going to think about how our team might utilize this in the future for our weekly reports. Sherrie has already asked about this but how does this relate to recurrences? We currently use a weekly recurring task that our whole team gets on Mondays.

We leverage blueprints and some automation rules. Appreciate you outlining your process. This will definitely help us.

The idea of reporting the three highlets of the week is not only a nice idea for design teams. Also for technical teams it could be a good idea for generating a good feeling about the work and seeing what has happened.

Hello, Sherrie Besecker
It's a good question, thanks)

Yeah, our report is the main task with subtasks for each team and I create reports manually for the month ahead. But it doesn't take a lot of time because when you create a task from a blueprint the menu with setups has the option "Add another" and you can create as many reports as you need without leaving this menu.
