[Wrike Labs] Work Templates ๐Ÿ’ฅ

Update โ—

Work Templates have been removed from Labs. If you don't have Templates enabled, or if your account is new, you won't be able to turn them on for the moment, but they will be re-released to everyone soon again.
ย
If you had been using Work Templates before April 13th, 2022, you'll still be able to use your existing Work Templates. Also, the option to create Work Templates for those of you who have them enabled is still available,ย butย we recommend you don't create any new ones for now as we work on improving the functionality for you ahead of the general release.

ย

Hello Community! ๐Ÿ‘‹

Today, we are very excited to share the latest Wrike Labs release - Work Templates ๐Ÿ’ฅ

Work Templates provide you with a work modeling capability that allows building new types of work in Wrike. They enable you to build new work items - campaigns, epics, stories, service requests, and more in addition to the existing items (subtasks, tasks, and projects).

Before we go further, please note that this is an experimental feature thatโ€™s released in Wrike Labs, and as a result, it may have bugs and is subject to change.

Work Templates - What are they?ย

This new feature allows you to create fully customizable templates based on regular projects and tasks. These templates can be tailored to the needs of your whole organization or specific departments and teams. You can pre-configure dates, assignees, locations, define workflows, select which custom field to show, and more to create domain-specific work templates like OKRs, user stories, bugs, requests, etc. Finished work templates can be used by account and space users in their future work.

Work Templates can be used as:

  • Account-level work templates. These are available to all users in the account, except for external users and collaborators. Templates are stored in a library that account owners and admins can open from the homepage.ย

Tip! Create new templates on the account level if they are relevant for the whole organization and need to be accessible to most users for cross-functional work.

  • Space-level work templates. These are available to all space members, except for external users and collaborators. They arenโ€™t accessible outside of the space they were created in.

Tip! Space-level templates come in handy if you manage a team or department space, so you can create space-level work templates that fit the specific needs of your team.ย

Work Templates vs. Blueprints

We view Work Templates as the next generation of Blueprints. Both of these functionalities allow you to create reusable work items out of pre-defined templates based on your work experience and needs.ย

The main differentiators for Work Templates are:

  • They are fully customizable task or project views with a new way of managing custom fields for work items
  • They can be used on both space and account levels
  • They are easy to manage for admins through the template gallery
  • They can be created using other work templates (for example, an Epic template can include templatized Stories)

For more information on the difference between the two, please check out the Help Center article.ย

Tip! You can use Work Templates and Blueprints in your account at the same time.

How to Enable Work Templatesย

Account owners and admins can enable the Work Templates feature for the whole account from Wrike Labs. Just click Enable on the Work Templates card and refresh your workspace.

How to Create Work Templates

Account-level work Templates. Account owners and admins can create new account-level work templates by selecting the Work templates section on the right-hand panel on the Home page. Alternatively, select Work templates from the Launchpad.

Space-level work Templates. Space admins can create new space-level work templates by navigating to the relevant space and selecting the Work templates tab in the Space settings.

How to Edit Work Templates

Account owners and admins can manage existing account-level work templates. Space admins can manage existing space-level work templates in their space.

To edit a work template, navigate to the template gallery in the account or space settings that you manage, click on the relevant template, and start editing. You can edit the title, short description, attached work items, full description, system or custom fields, workflows, attachments, and more.

Tip!ย  Updates to work templates are saved automatically

How to Create Work Items from Work Templates

All users and space members, except for external users and collaborators, can create work items out of account-level and space-level work templates.ย

You can create real work from templates by using the bigโž• button at the top of your workspace or from context creation. This means that wherever you create regular tasks and projects, you can create work from templates there too. You can easily modify this work creation menu and leave/enable only work templates that matter most.

ย

To sum it up, with Work Templates, you can now work natively with campaigns, customers, products, user stories, epics, service requests, and endless other work types that are part of your day-to-day workflows in addition to tasks, projects, and folders.

We are very eager for you to try out the Work Templates and let us know your feedback. Please let us know what you think in the comments below! ๐Ÿ‘‡

Lisa I like the new overview und specially the userdefined field are much easier to read and edit. The problem is that now we have to diffrent kind of tasks and that is confusing our workers. Please make a cut and change all of them or none. The other way is good for beta testing. But that's just my opinion โ˜บ๏ธ

Hi team, I just realized that work templates are not available in the locked space. Could you please share a plan for locked spaces?

Thanks a lot for the detailed feedback Lukas Flatz! For now, work templates is a Wrike Labs feature, which means it's still being tested ๐Ÿ˜Š

Julia Berzoy Thank you for asking the question! I've passed it to our Product team and we'll make sure to inform you here on the Community as soon as we have this info ๐Ÿค—

Is there a way I can have the output of a work template be a folder, instead of the root of the space?

I have created a folder called Project Proposals, which I would like all of the new projects created via the Work templates to go to. This doesnt seem possible yet. When I create a new work template it only lets me pick a space.ย

Hi Craig Dunn, welcome to the Community! ๐Ÿ‘‹

Have you tried opening the folder and adding a project template there? You can search for a template there:

I like the work templates more than the blueprints. it helps a lot when different workflows are needed based on who gets the task eg.

But there are still a few annoying things:

  • I still have users who like a printed version of the task (pdf) -> it would help if the standard print function of the browser would work properly
  • I would help a lot if the template could also be used in wrike integrate -> duplicate taskย
  • it's annoying, that as soon as a template is used within another template for generating a subtask, that the subtask doesn't update when the template is changedย

Hi Petra Hauer, welcome to the Community, and thank you for posting!

Work Templates are released as Labs features so they are subjected to change, so your feedback is much appreciated. I'll be sure to pass it on to the team and update you if there are any changes to it.

Hello,

I attempted to enable the Work Template through Wrike Labs, but the option does not appear as one of the available features.ย  Is the Work Template no longer available to enable?

Thanks!

Hi Michael Lockwood, thanks for your query. We just made an update to this, well spotted!ย ๐Ÿ™‚
ย
Work Templates have been removed from Labs for now. If you don't have Templates enabled, or if your account is new, you won't be able to turn them on for now, but they will be re-released to everyone soon again and we'll be sure to keep you posted on this.
ย
A note for those of you who had previously enabled Work Templates also.ย If you had been using Work Templates before April 13th, 2022, you'll still be able to use your existing Work Templates.ย Also, the option to create Work Templates for those of you who have them enabled is still available,ย butย we recommend you don't create any new ones for now as we work on improving the functionality for you ahead of the general release.
ย
Again, we'll keep you folks updated on this here on the Communityย ๐Ÿ‘ย
