[From Wrike] How to Use Calendars for Remote Work ๐Ÿ“…

Today, weโ€™ll be talking about Calendars and how they can help in managing your day-to-day work.
 
This functionality is great when you need access to a quick and comprehensive overview of the work planned for the upcoming week, month, or quarter. This is especially important if you're working remotely at the moment. Keep reading to learn more on how Calendars can provide greater visibility of team availability, ongoing work, projects at risk and more ๐Ÿ‘‡
 
Wrike Calendars consist of layers, each of them displaying tasks or projects depending on the parameters you set when you create them. You can add one, or multiple layers to each calendar and set them to show different tasks and projects. There are 2 types of layers:
  • Using Smart layers based on tasks or projects, you can automatically display tasks or projects from specific folders/projects/Spaces and with specific filters applied.
  • Classic layers enable you to manually add tasks with any properties to the calendar layer from any project/folder/Space and create new tasks right on the layer.

How you can use Calendars:

  • Manually add the tasks you need to track (for example, from your personal folder) using Classic layers.
  • Create different layers for different types of projects and tasks, apply colors so they are quickly distinguishable (e.g. green for content, red for campaigns).
  • Create a Meeting folder to be able to quickly see all meetings and easily add meeting notes by clicking on a task. Use Smart layers for this.
  • Print Calendars to hang them on the wall - in your office or your home office. 

Business Continuity and Remote Work

For Business Continuity planning, you can create Calendars for team availability, projects at risk, or any other work where you and your team need to keep a close eye on its management. Here's an example for ''Team Availability'':
  1. Create a folder โ€œTeam Availabilityโ€
  2. Create a request that your team members need to fill out to state their time off.
  3. Set up the request: after the request is submitted, tasks should go to the designated folder.
  4. Now you can create a smart layer based on tasks in this folder.
This helps you track team availability. If your team is working remotely, itโ€™s always handy for them to know when their colleagues are getting back to work after PTO or sick leave, and this Calendar helps with that too.
 
Using this functionality - folders, request forms, and calendar layers - you can set them up to show any kind of work: projects at risk, clients at risk, campaigns, and more.

Is there a way to calendar meetings on the calendar?

It is possible to create tasks for meetings to be able to view them on a Wrike calendar. For example, you can create a separate folder for those meetings tasks and then create a calendar layer for those tasks from this specific folder. A task for a meeting is a good idea to keep the record of meeting notes. However, if you mean your meetings in a Google Calendar or similar, there's currently no way to show those on your Wrike Calendar.

Thank you for responding so quickly.  I'm assuming that you would be open to feedback.  Our nonprofit just signed up for Wrike and I had really hoped that we would be able to reduce the number of places we "need to keep track of," so to speak.  I hope Wrike adds a Google Calendar-type calendar sometime in the near future.
