External Users?

I'm confused on the differences between a full User and an External User. The only difference i can find is that the External user cannot Share a folder or project.

Hey Marj, thanks for this question. I feel like other people might be wondering this too.

Firstly, here's a permission list of who Regular, Collaborator and External Users are exactly and what they can and cannot do.

Briefly, you're right, they are similar, however one distinct difference is that External users cannot share tasks/Projects/Folders and can only see these items once shared with them. They also can only see contact information from people who have commonly shared items.

This has just made my life so much easier!  I had several people in the office set as Collaborators and they were upset they couldn't create a task or even update the descriptions as needed. Now they can!

A little different, but you might be also interested in Access Roles (if you have not yet seen it). It allows you to set some custom preferences around Full, Editor and Limited access to Folder/Projects 👌

One quick note that I didn't check: External Users count towards your paid seats. :D

I try to set more Collaborator as External User. However, I cannot convert more then 1 as External User. Is this part of the constrain?

Lisa Do external users cost the same as internal users? If so, why not make everyone internal users and choke down the permissions in the settings tab?

Just trying to understand the value of this profile in relationship to the cost.

Hey Benji, thanks for reaching out!

External users do cost the same as regular users. It's a more simple way to gate some of the permissions if, for example, you invite customers or contractors into your Wrike account. At the same time, account owners and admins on Enterprise Standard and Pinnacle accounts can further adjust rights for external users in the account.
