Ability to assign a task to the item author when populated from a bluedprint.

I have created a blueprint, and want to have an automation rule on my custom item that says "assign to author" when "item is created from blueprint." This type of project and the task I refer to can be submitted by a member of our demand generation team, and they need to be assigned that first task immediately upon it's creation. I cannot find any automation rule to help me do this. I've tried start date is approaching within 1 day, and due date is coming up in 1 day (since it's the first task and it is literally due the day it gets populate). I've tried status changes to the status it will have when it populates and that doesn't work. Surely, there is a simple way to assign the task to the item author on population? The project and it's tasks will be populated from a blueprint.

I should clarify, because I can't see a way to edit my post above, that the submitter or item author could be one of any member of the demand generation team. So it's a variable, not a static.

Hi Merri Hicken,

I hope this helps, but this is what we've done for blueprints that contain multiple tasks that we want the author assigned to as author can vary between team members:

  1. Create a job role called "Requester" or anything else (can be "Author")
  2. Create an automation rule targeting Tasks that when new item is created in X location, add item author when the condition is that the assignee is Requester job role, then remove Requester job role assignee (this will replace the job role with the author!)


Note that you can't add job roles to Projects (grr!), but this works really well for tasks! For projects, I think you can just create a simple rule that when a new project item is created, add item author as the assignee.

I would do this using a simple request form that asks the submitter to select the blueprint from a list (so that more than one blueprint can be picked from the same form), a due date for rescheduling, and a user name field for automatic assigning to the main project.
You could also add in a description field or attachment field if that is helpful for your projects.

Our team has a blueprint custom field that lists all of the blueprint names and is pre-filled with the appropriate blueprint name within the blueprint itself. Using this method, we are able to use an automation: Apply rule to task in X space > When item is created > Conditions are unassigned and blueprint custom field is X, then change assignee to item author.
