Form Output from Item Title, Description & Custom Fields (PDF or DOC)

Purpose:

This request is proposed to reduce the amount of time spent filling out details for changes requests, corrective actions, and other types of documents that need to be communicated with external organizations that are not part of your Wrike account.

Description:

Need the ability to print a structured document (PDF, DOCX, or out to Google Docs) that utilizes a task, project, or folder custom item type and includes the title, description, and selected custom fields.

Scenario:

A change request is generated from a request form in Wrike.  All details are written from the prompts in the request form.  A document also needs to be created with these same details for communication to the external business unit responsible for the change (e.g., suppliers, factories, marketing services, etc.).  Rather than rewriting all details into a separate Word Doc (or similar form tool), the details would be an output exported from the Wrike generated item. 

Details:

  • The structure/format of the item output would be customized similar to a custom item type and allows the organization to define its preferred layout.
  • Selection of custom fields would be customizable and can vary from the custom item type (but not to include fields not found in the custom item type).
  • Multiple file type options available, such as: PDF, DOCX, XLSX, Google Docs, Google Sheets, etc.

I would like to hear other suggestions/opinions from the community.  I envision many ways and scenarios this feature could be utilized.  I appreciate any feedback or criticism offered!

Hi Trevor Tollefsbol,

have you considered utilizing an Excel export to achieve this? You could also generate pdf dacument from Excel afterwards. If you need this preocess to be done a lot of times, it could be half automated using Makros in Excel.

Hi Florian Kislich, thanks for the suggestion.  This would work for reporting on a group of change requests in a table, but I don't believe you can output the contents of a single task into any of the standard document formats.  I'm more interested in outputting the formal document for external communication on each change request.  Formatting of CR forms varies by organization and how simple or complex their process is.  I've attached an example of a form below, but this could be tailored based on what Wrike may be capable of and what information must be listed in the CR (or any other document a company might wish to export).  Hopefully this clarifies my intent of the feature request above.  Or maybe I've misunderstood your comment?  There's always something new I learn from the community here!

thanks for providing this example, it's likely how I interpreted your initial post.

I was thinking you could use the excl export feature on a daily basus, for exaple. You could set up a filtered view that showas all tickets from today, and export it to excel with two clicks. Then you could run a makro that generates your pdf documents with the information of this export.

Just an idea!

Ah, I understand better what you're suggesting, Florian Kislich.  I'll have to try that to see what I can build!  As a feature enhancement in Wrike though, it would be great to build these custom forms directly in the tool.  Maybe it could even be done as a custom formatting in the description field when creating a custom item type...

This would be fantastic, wrike request forms or for that matter tables with custom fields are not able to be printed in a visually pleasing and more importantly familiar formats such as Trevor's example.
