Following a similar update in Forms and configuration usage stats that should help analyze which configurations are in use vs. collecting dust, I am excited to bring you the ability to activate and deactivate your workflows.
Now you can simply deactivate unused (or not-ready-to-be-used) workflows and remove unnecessary configurations that your teams should not see. 1 click โ that simple!
How it works
- Draft or archival, why not both? Use "Status" field to turn the workflow on or off. A deactivated workflow won't be visible in the workspace menus. Admins however will continue to see and be able to edit this workflow in the admin lists.
- Data is not lost.ย If a workflow is already selected on a task or a project, it will stay on it, but you won't be able to use it further and change to another status of this workflow. Once the workflow is reassigned, you won't be able to search for it again until reactivated. A visual note will help you to understand who has deactivated the workflow and when.
- Changed your mind? It's OK. Reactivate anytime to restore the workflow and it will bounce back in places of use and menus.

๐กTip. Try deactivating workflows that have not been used in 1 year or more. To find them, group the admin table by "Last status change date".

If a workflow is deactivated, does it no longer count toward the maximum 20 workflows per space?
