[From Wrike] New release: Optimize Workflows setup with new usage stats ๐Ÿ“ˆ

Alina from Product team here. ๐Ÿ‘‹ย  We know that as account grows, configuration lists grow with it. Then, the selection fatigue creeps in, while part of this problem relates to simply seeing configurations that are old and collecting dust. Check out recent release enabling you to make an educated decision with clear data on your hands!

Workflows usage data points

Navigate to your account or space workflows list and find the newly added columns:

  • Status changes total โ€” a calculation, shows the amount of times the status of this workflow has been changed in work items created.
  • Status changes this month โ€” a calculation, shows the amount of times the status of this workflow has been changed in work items created this month. This data point resets every month.ย 
  • Last status change by โ€” shows the last person or bot who has changed the status of this workflow in work items created.
  • Last status change on โ€” shows the last change date for the status of this workflow in real work items.

Useful to know

  • Historical usage information will show up starting from 2024.
  • While account-wide workflows overview shows the overall usage across all spaces, spaces overview will show a relevant portion of this workflows' usage attributed to this space only.
  • Usage calculations work as events, counting number of times the usage action was performed. In this case, how many times the status of this workflow was changed in created work items.
  • Because usage calculations work as events, the usage amounts Wrike will show won't be dependent on how many items with this workflow are actually present in the system now. For example, if you change a status on a task but then decide to delete the task, the usage information for this workflow will still "remember" that it was used. We wanted to ensure that the information on frequency of the configuration usage is not impacted and lost during cleanup and deletion of work structures.
  • There are multiple ways that usage can be recalculated: if you change a status by hand or if it is changed via automation or API.

I am loving all these updates to help Admins with governance and account clean up/maintenance.ย  Thanks so much for your work on this.ย  It will be very useful to see how often a workflow is being used. So often we add a new workflow and not sure if it's being used or still relevant.
