Introducing Aggregation in Table View: Customizable Calculations for Your Subitems! ๐Ÿ“Š

Weโ€™re excited to announce a powerful update to automatic calculations in Table Viewโ€“ you can now use Aggregation to automatically calculate totals, averages, and more from selected subitems, right where you need them!

What is Aggregation?
Aggregation enables you to perform automatic calculations, like totals or averages, from subitems and display the results on the parent item (such as a project or folder) in Table View. Unlike a traditional roll-up (which always aggregates from all subitems), Aggregation gives you flexibility to include only the subitems that match specific filter criteria. This way, you can focus your calculations on what matters most!


Aggregation in Table View โ€“ Key Highlights ๐Ÿš€

  • Flexible Calculation Options: Choose between aggregating all subitems (Roll-up) or only filtered subitems (Aggregation).
  • Custom Filters: Easily set up filtersโ€”such as by status, category, or assigneeโ€”to only aggregate data from specific subitems.
  • Supported Fields: Available for custom fields types - Number, Percent, Currency, Formula, Duration and several system fields such as Duration, Effort, Time Spent, Financial fields, Progress, and more.
  • View-Specific: Aggregation is calculated on a per-view basis, so you always see calculations that reflect your current filters and context.


How to Use Aggregation

To calculate values exclusively from filtered subitems, follow the steps below:

  • In the Table View, click the three-dot menu in the desired column heading. Select Calculate subitems.
  • Choose the item type (Tasks and Projects, Tasks only, or Projects only).
  • In the โ€œCalculate values ofโ€ section, choose Filtered subitems only.
  • Confirm your selection, then specify your subitem filters (e.g., โ€œStatus is In Progressโ€).
  • The parent item will instantly display totals or averages based on just those filtered subitems!

๐Ÿ’กTip: You can also activate aggregation directly by clicking the calculation icon in the cell you want to aggregate.

To turn off aggregation: Repeat the steps above and select Turn off all calculations.

Additional Notes

  • Aggregation is display-only: The calculated values appear in Table View, but are not stored, keeping your data up-to-date and dynamic.
  • Large Tables: For tables with over 1,000 items, calculations may take a few moments as they update in the background (watch for the refresh icon ๐Ÿ”„).

This is a great addition. I have a question, though. This prompts me to include our proposal prices for every project, and when I group them by quarter, I was hoping to see the totals for each quarter (the same way it shows you the total count for the group), but it doesn't appear. Now I'm wondering if I'm doing something wrong, or if you might consider adding it. Thanks!

This is huge add for my specific use case!

I did run into a roadblock - if a filter is applied to get a aggregate sum on Custom Field X, any other custom fields that use Custom Field X within a custom field formula are NOT updated. Ultimately when we filter and see changes reflected in a aggregate custom field, anything else that depends on that (e.g. custom field formulas) needs to update as well.

I believe you're referring to getting a sum total for each quarter directly in the group header. To answer your question: if youโ€™re using Table View, you can enable aggregation (roll-up) for numeric custom fields, but the sum typically appears at the parent item levelโ€”not as a subtotal in the group header for each quarterโ€”which is why it doesn't appear there.

If I understand the roadblock you've mentioned correctly, when CF X has "Calculate Subitems" with "Filtered subitems only" selected, and CF Y uses CF X within a custom field formula, after filters are added, values are aggregated for CF X but not for CF Y. You will need to turn on "Calculate Subitems" for CF Y as well, ensuring "Filtered subitems only" is selected.

Currently, it is possible to aggregate effort for projects only. I checked, and currently there are no plans to support this for tasks. As a workaround, you can create a formula field and add [Effort] as the formula. Formulas can be rolled up or aggregated at any level, including super-tasks.
