Tracking Guest Reviews
Hello! We would like to start using Wrike for guest reviews of proofs. However, there could be a lot of items in review at any given time and we want to be able to easily track all reviews in one report. Is there a template or easy way to pull a report together like this? And is it something that could be shared externally so the client can also track all of their pending reviews in one place?
For context, we are currently using another online tool that is more of a spreadsheet format with proofs attached to each row which the client can mark up. However, the tool does not allow you to download the file WITH comments included, and that has become a barrier for us as our newest client adds a lot of comments. We use Wrike for everything else so I'd like to move our external reviews into Wrike as well, but need to allow our team and client to see a full report of all items pending review and would also be great if they could see past completed reviews as well. Would appreciate any tips for setting up a report like this. Thanks!
Hi Heather McCoy, we use external reviews for proofing at my company. Here is how we keep track: When an item goes into review, it also goes into a specific status (for instance: Proof Out status.) We also have a custom field called Customer Name which we populate with the name of the reviewer. From there, you can just build a report to track all tasks in Proof Out status and sort them by Customer Name. From there, you can use the 3-dots menu in the upper right of the report to export the report to Excel, save/send a link to a snapshot, or send the report via email.

You can create different widgets and filter them for approvals
Then you can share dashboard with public link.
Ali Moses Hi! I love your process and helps great to track internally. However, is there a method you are using for your guest reviewers to track the items they need to review? From what I can tell, the report snapshot does not allow a guest to click into the item that they've been sent to review. They must review from the original email request to review. Have you found a solution for your clients to keep track of what is in their queue to review or are they relying on the individual guest review emails for that?
Heather McCoy Ah! I see what you mean. We don't help our clients track that way per se. We do have a time limit set on our reviews. When a review expires, we re-send with a reminder note that this is pending. I like Pietro Poli's idea above. What about a dashboard with widgets for each client sorted by pending review and then share the public link? At least that would allow them to know what to look for in their email inbox.
