Reporting needs filter for "time spent"
I'm looking for a solution to use the report function for a smart reporting.
We are using the time entry / time log function for all our projects. Unfortunately, there are only limited possibilities within the time log to create i.e. a monthly report on selected projects / assigned user etc. in a way that you can save the report.
Unfortunately, there are only limited possibilities within the time log to create i.e. a monthly report on selected projects / assigned user etc. in a way that you can save the report and simply use it for "in between revies" or monthly invoicing.
The report function has a number of features which come close to what we need, but here you can not filter on "time spent" with a filter on activities logged only i.e. this month.
You always see the full project and that does not help.
any ideas?
Hello Jorn, thank you for the question! When creating a Report, it's possible to enable the "Time Spent" column from the gear icon in the top-left corner of the view:
In the Report builder, you can choose additional filters, such as "Assigned to" and last modified/completion time frames. The Report can be saved, so up-to-date information is always available when you access it. Would this work for your use case? Happy to hear your thoughts about it!
Hi Anastasia,
so far ok with me, but I can not filter the time spent for a given time frame. i.e last month or custom timeframe.
That's what I would need.
Hi Jörn! I know you hear this a lot from me, but I wanted to let you know that I've submitted this feedback to our Product Team too :) I can definitely see how that could be useful. Thank you for all of the great ideas you have been sharing here!
Regarding a time spent report, like you describe here -- there are times when we may have a single task that multiple people log time on. Take a meeting, for example, where there are 5 people attending for an hour. Each person logs time on the single meeting task. There are many tasks like this. In the report by assignee, the task appears in each persons list but the time spent column shows the total time logged on the task across all the participants. This makes the time spent column misleading. Can time spent ever be reported on by assignee in the way I would like -- displaying each assignee's timed logged, rather than the task total.
Hi Marc, there are two different options I think may help.
1: It's not on Reports, but the Timelog View shows a breakdown of how much time each user spends on a particular task. Just select a Folder/Project from the left-hand Navigation panel and then switch to the Timelog View.
2: To view a breakdown in the way you want, but in Reports, subtasks could help. From the meeting task, you would create a subtask for each attendee who needs to track time. Each person would then track time on their assigned subtask, and you would be able to see tracked time on a person-by-person basis. In this case, I would recommend creating a meeting template with the subtasks and assignees all added, so that you could easily duplicate the template task before each meeting. I also, recommend naming conventions to make things easier to read on the Report. For example, the main task would be called something like "Weekly Marketing Meeting DD/MM/YY" and then for the subtasks, "WMM DD/MM/YY [Name]".
Please let me know if either of those two options could work for you!
Stephanie -- thanks for the response. I'm aware of #1 and use often, but it's not as nice as having an established report. As far as #2 -- that's not tenable, in general. Sure, I could do it for the meeting example I gave, but there are numerous tasks that can have multiple assignees and I wouldn't want to make subtasks for each person. The goal is to try not to assign multiple people to the same task, but sometimes it just makes more sense and is more efficient.
I can live within the Timelog view -- but it seem logical & useful that a Time Spent report by assignee would report on each persons time spent, not the task time as a whole. I understand that this may be difficult to develop. Just suggesting.
@Marc happy to hear you know about the Timelog View and it's great to hear suggestions. We actually just launched a Product Feedback section on the forums, would you mind adding this idea there? It would help us keep track of the number of requests for the feature and let other users easily +1 your idea. You can find the Product Feedback section here.
