[From Wrike] New Automation Actions: Change More Custom Field Values ๐Ÿ˜

Hi, Community!

Continuing with the recent Automation enhancements, this week we have more great news to share with you: you can now automatically change the value of almost any custom field type in your account! ๐Ÿคฉ

Previously, โ€˜Textโ€™ and โ€˜Checkboxโ€™ custom field types were supported in Automation actions ๐Ÿค–, but now the list also includes: โ€˜Textโ€™, โ€˜Numberโ€™, โ€˜Multiple selectโ€™, โ€˜Single-selectโ€™, โ€˜Checkboxโ€™, โ€˜Currencyโ€™, and โ€˜Percentโ€™!

Please note that โ€˜Peopleโ€™, โ€˜Dateโ€™, and โ€˜Durationโ€™ fields are not currently supported.

When creating an automation rule, you will find the new options under the โ€œChange custom fieldโ€ action.ย 

By selecting this option, you will be able to choose the relevant custom field and determine how its value should be changed - this option also includes the possibility of removing its current value:

As an example of how you could use these new options, youโ€™d be able to create a rule to automatically change the value of a custom field depending on the status of your task:

You could also automatically change the value of your custom fields in case your tasks are overdue:

The new available actions can also help you calculate important parameters in your account, such as the SPI - Schedule Performance Index. If you are interested in this case, you can learn more about it in this thread.ย

Hello,

This feature needs to be expanded upon. Instead of changing a custom field to a hardcoded option, the feature needs to be more dynamic. Below is a scenario for what I am meaning.

Scenario: The goal is to have an automation send a reminder to the assignee of a purchase request ticket that a review of a purchase needs to be completed.ย 

What's required:

  • Custom Fields
  1. DaysToAdd: Number Field = 7
  2. DaysLeft: Formula = [ReviewDueDate]-Today()
  3. ReviewDueDate: Formula that is a Date Field = [Created Date] + [DaysToAdd]

As the date gets closer to ReviewDueDate, the DaysLeft field will eventually be equal to 0.

The automation needs to be able to read the DaysLeft field, see that it is 0, and then add 7 to DaysToAdd.
The automation then comments to the Assignees that a review is due. Since it added 7 to DaysToAdd, the ReviewDueDate is adjusted to be 7 days from the current day. This keeps repeating until a review is submitted.

Being able to have the automation change custom fields by subtracting, adding, multiplying, etc. using a variable, it opens a world of possibilities. Keep in mind that even this is a workaround for not being able to adjust date custom fields. If we could adjust dates, we could simply add seven days to a date custom field and be done with it.

@... Unfortunately, I don't think that is what Roger Pennell is asking. Going back to my previous comment, we need to be able to set custom fields to a variable and not hardcode the custom field. We should be able to say, if Custom Field A = result, then Custom Field B = Custom Field C. Custom Field C could be a constant variable for a certain scenario. This is a simple If Then Else statement, so using a variable shouldn't be that difficult to implement.

The benefits of being able to set a custom field equal to another custom field are endless.

Great news - thanks.ย  We REALLY need to be able to set dates with this action.ย  Here's the use case:ย ย 

If a single-select "stage" CF changes, then set another (date-time) CF to TODAY()

So we need to determine how long a work item has been in the latest "stage" (represented by a date-time CF)

Any idea when this might see the light of day?ย ย
