TL;DR

Wrike Dashboards let you track a wide range of metrics for tasks, projects, teams, finances, approvals, effort, capacity, utilization, and workflow performance, with metric availability depending on your plan (most advanced metrics require Business or Pinnacle). You can also use supported numeric, currency, duration, and formula custom fields as widget metrics, provided they're added to the relevant Custom Item Type (CIT).

In Wrike, you can use dashboards to track a variety of metrics, which helps you better understand your team's performance and project progress. This guide will help you monitor key metrics, including task counts, durations, performance, approvals, effort, financials, team metrics, and workflow transitions, all through the use of dashboards.

To gain deeper insights into your custom values within items, you can incorporate numeric, currency, formula or duration custom fields as key metrics, allowing for more precise tracking and analysis of these data points.

Note

  • When used in aggregated widgets, Formula Custom Fields with values calculated in Days can only be displayed in hours.
  • Formulas referencing Financial fields or based on Date calculations (e.g. referencing dates or calculating difference between dates) are not supported as metrics.

When time totals (such as Time spent or Effort) exceed 100 hours, Wrike displays only the hours. Minutes are not shown in these totals.

Team User Count

Counts users relevant to the folder (task authors and assignees).

The metric is considering all users in the account, regardless of the widget data source and its assignees. To limit the scope, consider applying filters by User, User Group or Job Role.

Capacity

User capacity for each day. Calculated from the user's creation date to 180 days in the future.

Available Time Capacity minus effort per user per day The amount of time each user has available per day, calculated by subtracting their effort from their capacity. - Business and above
Planned Utilization Effort / Capacity The percentage of each user's capacity that is planned to be utilized, calculated by dividing their effort by their capacity. - Business and above
Actual Utilization Time Spent / Capacity The percentage of each user's capacity that is actually utilized, calculated by dividing their logged time by their capacity. - Business and above
Availability 100% - Actual Utilization The percentage of each user's capacity that is still available, calculated by subtracting their actual utilization from 100%. - Business and above
Overallocated Effort Effort minus capacity if effort exceeds capacity. Otherwise, 0. The amount of effort that exceeds a user's capacity, calculated by subtracting their capacity from their effort. If effort does not exceed capacity, this value is 0. - Business and above
Unallocated Effort The total effort that is not assigned to any user or date. - Business and above
Workflow Status changes Count of transitions between statuses. Uses the status prior to the change and the status following the change as dimensions. Task and project Pinnacle only
Total time spent in Status Total astronomical time spent in each workflow status. Calculated by summing the time spent in each status across all tasks. Task and project Pinnacle only
Average time spent in status Average astronomical time spent in each workflow status. Calculated by dividing the total time in each status by the number of tasks that have been in that status. Task and project Pinnacle only
Max Time spent in Status Maximum astronomical time spent in each workflow status. Represents the longest time any single task has spent in each status. Task and project Pinnacle only

Note

You can slice your report by Historical Status and Group only when using metrics like Average time spent in Status, Total time spent in Status, or Max time spent in Status. Additionally, you can slice by historical status date if using (average/total/max) time spent in status metrics.

Historical status data is currently limited to the past six months. This is by design.

For the status change metric, you can use the following dimensions:

  • Status change date
  • Status (before change)
  • Status (after change)
  • Status group (before change)
  • Status group (after change)

How to Use Custom Fields as Widget Metrics

When creating a widget for a Custom Item Type (CIT), such as a KPI, chart, or table, you can use custom fields as metrics.

This is supported for both:

  • Account-wide CITs
  • Space-wide CITs

To make custom fields available as metrics, they must be explicitly added to the CIT.

Before you begin

Open the custom item in Builder mode and make sure all required custom fields are added to it.

Once the fields are added to the CIT, you will be able to select them as metrics when configuring the widget.

FAQ

I have enabled automatic calculations in projects for my custom field, but my dashboard doesn't show any values. What am I doing wrong?

Widget settings allow flexibility in terms of what values to show for projects - values input directly into projects or values summed up from their subitems. Rolled-up values are not directly attributed to projects. To display the needed totals, check the box next to "Include task values" option.
