Overview

Status groups in Wrike categorize task statuses into broader groups, helping to organize and manage tasks more effectively. These groups are not individual statuses but collections of statuses that share a common theme or purpose.

Default Status Groups

In Wrike, there are four default primary status groups that help organize and manage tasks effectively. Each group serves a specific purpose.

  • Active:

    • Includes statuses indicating that a task is currently being worked on or is in progress.

    • Tasks in the "Active" group are typically included in notifications, email digests, and searches using default filters.

    • By default, new tasks are tagged with the first status in the "Active" group.

  • Completed:

    • Contains statuses signifying that a task has been finished.

    • Tasks marked as "Completed" do not appear in task to-do emails or on overdue widgets on the dashboard.

    • There must be at least one status in this group.

  • Deferred:

    • For tasks that have been postponed or are not currently being worked on.

    • Like "Completed" tasks, "Deferred" tasks do not show up in task to-do emails or on overdue widgets.

    • This status group is optional.

  • Cancelled:

    • Includes tasks that have been terminated or are no longer relevant.

    • Similar to "Deferred" tasks, "Cancelled" tasks do not appear in task to-do emails or on overdue widgets.

    • This status group is also optional.

These status groups help users quickly understand the state of tasks and manage workflows more efficiently by providing a structured way to categorize and filter tasks based on their current status.

Checking Statuses in Status Groups

In Account-level workflows

To see what statuses are included in your status groups:

  1. Click your profile image in the sidebar.

  2. Select Settings.

  3. Click Workflows 1 in the left panel under the Account Management section.

  4. Choose a Workflow. 2

  5. You find the status groups at the top. 3

Ensure that the statuses are placed in the correct group.

In Space-level workflows

To see what statuses are included in your status groups:

  1. Click the gear icon next to a space.

  2. Click Workflows 1 in the menu.

  3. Choose a Workflow 2 and click on the pencil icon.

Ensure that the statuses are placed in the correct group.

Filtering by Status Groups

  1. Open Filters:

    • Click the Filter button next to your view.

  2. Access Status Filters:

    • A Filter by dropdown menu will open.

    • Select Status to filter by status groups.

  3. Choose Status Condition:

    • You can select between Status is and Status is not.

  4. Select Status Group:

    • Click in the Search statuses field to select from a status group.

    • You will see the Default workflow, but you can also choose another workflow from All workflows.

  5. Apply Filter:

    • Select your preferred status group to filter by it.

You can further customize the statuses in each status group by creating custom workflows with specific stages, allowing for more tailored workflow management. Workflows can be created at the account-level or space-level. Their visibility and accessibility can be controlled based on user permissions. Tip

Wrike supports automation rules triggered by changes in task status. These rules can involve actions such as assigning tasks to specific users, adding comments, or changing task locations. The automation rule constructor allows for complex rules based on status changes across different workflows.
