Import Custom Fields From XLS Files

Importing custom fields with their values from an .xls file into Wrike allows you to easily manage and sync detailed project data. This feature makes sure that all important information is easily accessible across tasks, folders, and projects. It helps simplify your workflow and keeps your data consistent.
Prepare your .xls file:

Add the columns for custom fields at the end of the .xls template after all mandatory columns.

Use this sample file as a reference: Sample .xls Template.

Add the value for these columns next to Tasks, Folders, and Projects.
Import the .xls file:

Locate the space, project or folder where you want to import the file.

For Space: Click the three-dot menu 1 located below the Space’s name.

For Project and Folder: Click the three-dot menu 2 located at the end of the tool bar.

Select Import 3 from the dropdown menu and then select Excel 4.

Click the Select file 5 button and then upload the .xls file which you want to import.

Click the Next button.

A popup appears. Click Yes to refresh the current view.

Open the imported Folder or Project and switch to Table View.

Click the + icon and type the title of the custom field in the search field.

Select the one you've added in the .xls file.
All values for the custom fields will be visible for the tasks.
Note
When you import a new custom field, it is created as an account-wide, text-type field by default. You may need to change the type of the field manually for specific types.
The types are:

Checkbox: Manually change the field type after import.

Date: Manually change the field type after import.

Single Select: Manually change the field type after import. You may need to add any missing values to the field.

Duration: Manually change the field type after import. This is counted in hours.

Currency: Manually change the field type after import. Choose the correct currency; otherwise, USD will be selected by default.

Number: Manually change the field type after import.

Percentage: Manually change the field type after import.

Text: This imports normally.

Users: Imports directly to the User field if the User-type field with the same title already exists in the Workspace. If it's a new field, you will need to change the type to Users manually, which might result in losing the imported values.

Multiple Select: Manually change the field type after import and re-add the values for selection.
Important

If there are multiple custom fields with the same name, values may not import into the correct custom field. Rename the columns in the .xls file to avoid this issue.

If there is a field with the same title that was created last by another user and not shared with you, the data may be added to this field but will not be visible to you. The issue may be resolved in one of the following ways:

Rename the field in Excel and import the file back into Wrike

Create a new field in Wrike with the same field name and import the file once more.

Ask the author of the Custom Field to share it with you. This will make the data visible to you. Customer Support team can assist in checking the Custom Fields in your account to see if there are any with identical titles and who the author is.

Custom fields are case-sensitive. Ensure that the titles in Wrike and the .xls file match exactly to prevent the creation of new fields.

Custom field titles are limited to 60 symbols. Exceeding this limit will cause a server error during creation or import.
